Background / General description:
The International Finance Corporation (IFC), the private sector arm of the World Bank Group, Lagos, Nigeria, is seeking to recruit a suitably qualified candidate to fill the post of Team Assistant. The primary objective of the Team Assistant will be to support a team of 5 non-Administrative staff and also be a team member of a large group in the IFC, Lagos.
Duties and Accountabilities:
•Provide primary assistance to assigned team in the implementation of the units work program;
•Draft routine correspondence, a variety of standard documents and proofread materials in English, applying effective proofreading and grammar skills;
•Open and maintain up-to-date work unit project/travel and other files (both paper and electronic) for the relevant officers;
•Assist in the preparation and logistical planning for various events, in coordination with the Departmental Events Coordinators;
•Work closely with the whole team, coordinate with relevant staff and provide assistance and/or information on project-related matters;
•Monitor changes and communicate the relevant information to appropriate staff, both inside and outside the immediate work unit;
•Coordinate extensively with service units and liaise frequently with team members both at headquarters and in the field;
•Act as back-up for other colleagues, as determined by the Office Manager and/or Primary Supervisor.
Selection Criteria:
•University degree with a diploma in secretarial administration or High Diploma in Secretarial Diploma, with a minimum of 3-5 years experience;
•High degree of judgment and tact in handling, processing and communicating matters of a sensitive and confidential nature;
•Outstanding interpersonal skills to interact effectively with a range of contacts internally and externally and deal effectively with diverse situations which require good judgment, tact and diplomacy;
•Proven ability to work effectively in a team-orientated, multi-cultural environment, and function as an effective team member in various groups;
•Strong written and verbal communication skills to prepare/draft communications and ensure quality of written outputs;
•Proficiency in using advanced computer applications especially excel: knowledge of Bank policies and procedures would be an advantage;
•Ability to produce high-quality work;
•Effective time management and organizational skills;
•Basic knowledge of accounting will be an advantage
