Our client, a new merchandising business that deals in general merchandise and has operated in the consumer electronics industry for more than 20 years is looking at filling the role of an Administrative Assistant. Job Title: Administrative Assistant Job Location: Lagos Industry: Consumer electronics Job Type: Permanent Salary: Very competitive Job responsibilities: Administrative support to ensure efficient operation of office. General Bookkeeping Co-ordinate inbound and outbound shipments (domestic and international) Answers phone calls, schedules meetings and supports visitors. Carries out administrative duties such as filing, typing, copying, binding, updating websites and customer accounts and portal, scanning etc. Completes operational requirements by scheduling and assigning administrative projects and expediting work results Makes travel arrangements for team members such as booking flights, cars, and hotel or restaurant reservations. Exhibits polite and professional communication via phone, e-mail, and mail Supports team by performing tasks related to organization and strong communication. Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques. Provides information by answering questions and requests for customers and team members. Keep track of inventory by checking stock to determine inventory level, anticipating needed supplies and stock, placing, and expediting orders for supplies. Issue E receipts to customers Data entry: new customers data, customer returns, customer payment confirmation. Online Lead generation Credit control Schedule pickup and delivery of customer orders and confirmation of accuracy of orders picked by our warehouse team and delivered by a 3rd party company. Market research: carry out and or organize competitive intelligence analysis in person or visiting competitor’s website. Follow up on Accounts receivables and Accounts payable Ability to fill in for an absent sales executive Gather leads online to put through the sales pipeline Assign leads to different team members Develops administrative staff by providing information, educational opportunities, and experiential growth opportunities for existing and new team members. Required skills & Qualifications: 1. Minimum of OND 2. 2 years or more of administrative assistant experience 3. Administrative Writing Skills 4. Excellent use and understanding of technology (computers and smartphones) 5. Knowledge and use of productivity software’s including but not limited to: Slack, Microsoft 6. Knowledge and use of productivity software’s including but not limited to: Slack, Microsoft teams, WebEx, Microsoft Word, Excel, Outlook, Microsoft PowerPoint, Adobe, CRM software, WMS (Warehouse management system) 7. Excellence and Integrity 8. Well groomed and coachable 9.
