The worst nightmare a company can face is in finding themself in a situation where they must tell their public that all data is lost "because the archive room just caught fire!”

Let's imagine fire guts down your workplace! would your company’s document(s) be safe?

…before you answer, read till the end, only then should you give an answer...

Most of the information businesses manage is in the form of documents - be it paper-based or electronic.

The effective management of these documents throughout their lifecycle is referred to as Document Control.

We can also say that document control is the set of measures taken to regulate the preparation, review, approval, release, distribution, access, storage, security, alteration, change, withdrawal or disposal of documents... so, pretty much everything about documents!

In a nutshell, the purpose of document control is to ensure that documentation remains safe and is trusted by its users.

When you get your work-team members, customers, stakeholders to come to trust and not doubt that a document as received is up-to-date, reliable, checked and contains formally approved information then, the process of document control can be said to have been completed; only for a period of time of course, as in most industries, the process of updating is continual.

Therefore, document control is in all sense of the word, a profession and also, a job role that is now widely implemented in various activity sectors.

Professionals in this field are referred to as document controllers or document control specialists.

Now, back to our earlier posed imaginary question:
