I have said it in many of my articles that the primary responsibility of a customer centric enterprise is to build relationship with customers. The customer service department for example is saddled with the responsibility of raising the exit barrier for customers by studying the customers through the centralized database that they have about them and use this information to serve customers for life. In this article, I want to talk about the three practical steps that you can follow in building a functional call centre.



#1: PLANNING THE STRATEGY

One of the basic things that you have to do under planning the strategy project is to form the project team. A contact centre project is bound to be multi-dimensional and multi-disciplinary in nature. You have to list out all those that will be needed for the project and see if they are available in your organization or they can be sourced for.



After you might have gotten all your team members ready, you have to develop the project plan. That is where you have to sit down and ask yourself why you are building the call centre, this is when you can plan adequately for it and try to envisage risks that you are likely to face in the course of the project.



The next thing to do under this is to develop assumptions. You might assume for example that your programmer who happens to be your lead team member will be available by the time the project starts but the opposite might be the case.



The last thing at this phase is to learn from those that have built a successful call centre and see how they achieve their own. There is nothing bad also ion searching for books and other related materials on the subject matter.



#2: VISION AND DESIGN FOR THE STRATEGY

After all stakeholders are on the same page as far as the project is concerned, you can now develop a design principle which is meant for you to achieve your blueprint for the project.



The last thing at this phase is to create the vision and the strategy. The vision is where you propose to be. That is, your dream for your call centre while strategy is the road that leads you to your vision.





#3: SELLING THE STRATEGY

The first thing here is to develop the implementation plan. Here, you are planning on how you will actualize your strategy in order to achieve your vision for the call centre.



The next thing is to build the business case. The business case is your strong reasons for embarking on the call centre project. You must be able to convince the top management to buy –in into the project. I will talk more about business case in my future articles.



The last thing here is to sell the strategy. When you are doing this, you are trying to actualize all that you have planned. You are putting everything in place and making the necessary adjustments. This is the state that you commence the project in earnest.
