Job Description and Responsibilities

To take charge of the front office desk. Attend to guest and visitors. Ensure safe and comfortable reception area with good entertainment for visitors, good telephone etiquette, expertise in documentation and ability to do multi – tasking.

Responsibilities:

Ensure calls are handled efficiently and all guests are given excellent customer service
Professionally process incoming and internal calls according to protocols (without exception)
Provide Conference Room and Meeting support, including booking meeting rooms, etc.
Identify areas for process improvement and utilizing technology and other resources to improve service.
Acquire a comprehensive knowledge of functions and structure of departments throughout the firm.
Serve as liaison with staff in other departments and proactively update departmental information.
Handle routine administrative and business tasks and participate in special projects which support various departments across the firm, including Support Services, Finance, Talent Management, and Meetings



Qualifications and Experience/Skills:

First Degree in Business Administration, Public Relations, Secretariat Admin. or any related field.
Friendly and positive demeanor; team player who enjoys interacting with people
Articulate, presentable and smart.
Ability to learn fast and make quick decisions under especially under pressure (good sense of judgment)
Exemplary customer service skills and the ability to accommodate different situations and temperaments
Excellent verbal and written communication skills; ability to communicate effectively with all departments within the firm, senior management and a wide variety of external VIP member contacts and service vendors
Any business experience as a Receptionist/Administrative Assistant is an advantage
Ability to work independently with excellent time management skills and willingness to take ownership for wide-ranging responsibilities
Strong computer skills (keyboard proficiency and experience with MS Office)
