Job Titles: Personal Assistant (Male) Secretary (Female) to GEC
Reports to: Group Executive Chairman
Job responsibilities:
The Candidate’s responsibilities shall include but not limited to:
• Perform a wide variety of confidential executive secretarial and administrative duties.
• Provide timely, effective diary management by prioritizing and organizing meetings with internal and external stakeholders in consultation with the GEC.
• Resolve conflicting demands upon the GEC’s time from reporting staff, senior managers within organization and representatives of internal and external stakeholders.
• Coordinate the submission of key documents to the GEC to ensure all relevant information are provided prior to appointments and meetings.
• Provide a full range of administrative and clerical support services, including filing and records management; faxing, mail, maintenance of registers and routine databases, photocopying, compilation of manuals and reports.
• Review and record all incoming correspondence and emails, including allocating, redirecting to appropriate officers for action and following up on the preparation of responses.
• Ensure all outgoing correspondence, reports, submissions and briefings submitted to the GEC conform to the organization’s presentation, style, format and content protocols.
• Overseeing the movement of files and documents both electronic and hard copy to and from the GEC’s office.
• Prepare all Power Point presentations.
• Coordinate domestic and overseas conferences travel and accommodation arrangements, ensuring compliance with the organization’s policy and practice.
• Organize meetings, workshops, seminars and related functions.
• Provide timely, efficient secretarial services, including minute taking, and related administrative support to meetings, workshops, seminars and related forums as required.
• Any other adhoc duties as may be directed by the GEC form to time to time.
Qualifications and Experience:
• Applicants must possess a Diploma or Degree in Business Studies/Administration, Management/Sales or Marketing/Communication.
• Minimum 3 years of relevant experience.
• Possess excellent problem solving, presentation, organizational & analytical skills; communication & interpersonal skills.
• Possess a professional & proactive attitude along with pleasant personality.
• Must have excellent skills in the use of Microsoft Office Suite.
• Mobile to travel when required.
