Candidate would be responsible for providing full secretarial assistance to the Director to ensure a high level of service is maintained. DUTIES & RESPONSIBILITIES 1. Manage and maintain the Director’s diary and email account. 2. Filter emails, highlight urgent correspondence and print attachments. 3. Organise inbound emails into the appropriate folders and any relevant information to be copied into the correct file on the hard drive. 4. Respond to emails as much as possible, dealing with appointments of the direcror. Bio or photos etc. 5. Ensure busy diary commitments, papers and travel arrangements are managed effectively including producing a daily folder with diary, necessary papers etc. and troubleshooting problems. 6. Conduct weekly diary meetings with the Director to discuss upcoming engagements, invitations and other requests. 7. Schedule on behalf of the Director meetings between him and his direct reports and the committees and groups to which he is a member. 8. Coordinate travel and accommodation requirements in connection with others and ensure 9. Arrangements in place for the Director match his requirements. 10. Filter general information, queries, phone calls and invitations to the Director by redirecting or taking forward such contact as appropriate. 11. Ensure the Director is fully briefed on, or prepared for, any engagements he is involved in. Keep and maintain an accurate record of papers and electronic correspondence on behalf of the Director. 12. Prepare correspondence on behalf of the Director, including the drafting of general replies. 13. Minutes of general meetings as required and complete research on behalf of the Director. 14. Keep and retrieve files. 15. Ensure guests meeting with the Director are well taken care of. 16. Provide a service that is in line with the Director’s work habits and preferences. 17. Other duties as may be assigned periodically KEY PERFORMANCE INDICATORS i. Turn-around time on tasks ii. Degree of error on job outputs iii. Customer satisfaction rating iv. Proper management of the schedules of the Director v. Degree of error in reports generated JOB REQUIREMENTS Education: Minimum of B.Sc/HND in Business, Social Science or other related disciplines. Experience: At least 3 years experience in relevant area KNOWLEDGE Good knowledge of administration SKILLS/COMPETENCIES 1. A good deal of common sense, etiquette and an ability to think on one’s feet 2. Ideally educated to degree level (A’ level education considered) 3. Shorthand and excellent typing skills, speed and accuracy essential 4. Good computer literacy (MS Office, Excel, PowerPoint) 5. Excellent organizational skills 6. Excellent communication skills, both verbal and written 7. Professional telephone manner 8. Proven ability to work under pressure and to tight deadlines 9. Bright, confident personality 10. He or she shall be responsible for client recruitment, engagement, group formation and training of clients. DUTIES & RESPONSIBILITIES i. Planning in conjunction with the Head Credit and marketing to set target for the number of clients to be recruited within the period ii. Be responsible for the recruitment and and training of clients for branch operational activities iii.
