Urgent Vacancy For Office Manager In An Architectural Firm by Nobody: 10:59am On Dec 18, 2015
An Architectural firm in Victoria Island is in urgent need of an Office Manager. kindly send CVs to projects@pieach.com. Entries will close on Tuesday 22nd of December 2015.


OFFICE MANAGER RESPONSIBILITIES


HR:

• Staff management and welfare: Coordinating the office and staff members, making sure all policies and procedures are adhered to.
• Taking charge of the completion of the employee project time sheets, staff time-sheets, sick leaves, staff holidays e.t.c
• Helping with staff recruitment as needed.
• Implementing procedures that will help the growth and smooth running of the firm.
• Making sure that Staff abide by policies of the firm as stated by the staff hand book.
• Make sure that all staff get the staff hand book and know the policies of the firm.

OFFICE:

• Make sure diesel, stationeries, dispatch and all other supplies are provided on time.
• Make sure that mail dispatch is efficient; follow up on timely delivery of outgoing mail.
• Make sure that filing is done in an orderly manner to facilitate proper referencing of documents when needed for projects.
• Implement procedures that ensure that all letters are properly documented whether outgoing or incoming.
• Being able to take charge when the M.D and Project Manager are unavailable.
• From time to time you will be required to type letters for the M.D, so a good typing speed and attention to detail is very important.
• A high level of customer service is required at all times (remember the customer is always right).
• Making sure that the office is clean and well maintained at all times.
• Always report back when a task assigned to you as been completed

EQUIPMENT MAINTAINANCE:

• Ensuring that all computers, printers, fax machines, scanners, air-conditioners and all other machineries are properly switched off at the close of business.
• All faulty machineries must first be reported to you before any action is taken on it.
• Make sure that all computer softwares are up to date e.g: antivirus, Microsoft office, Autocad etc.
• Make sure Starcomms phones are working at all times


ACCOUNTING:
• You will be responsible keeping a tab on the office petty cash and all other expenses incurred; these will later be passed on to the accountant for final accounts.


ADDITIONAL RESPSONSILITIES AND DUTIES:
• Additional duties and responsibilities can be assigned to you by the M.D or Project Manager as needed to assist with the daily running of the firm.

hello. thanks for sending your CVs. i can assure you we are currently screening most of them so as the selected candidate can resume early next year. We actually prefer candidates with experience in senior administrative roles, with a little mix of accounting background. I believe this will stand you out and also make the task of screening more easier.
