Job Description - Office Receptionist Job Title Office Receptionist Job Objectives To provide administrative support to the business entity comprising of management, sales, service and other functions by effectively managing schedule and performing a wide variety of confidential, administrative, secretarial, analytic and research duties. Reports To- TBA Supervises: NIL Job Responsibilities Welcome visitors by greeting them, in person or on the telephone; answering or referring inquiries. Direct visitors by maintaining employee and department directories; giving instructions. Maintain security by following procedures; monitoring logbook; issuing visitor badges. Maintains safe and clean reception area by complying with procedures, rules, and regulations. Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs. Contributes to team effort by accomplishing related results as needed. Manage files and prepare minutes of meetings / meeting notes Plan, organize and co-ordinate functions and special events for the Company Assist with the preparation of business presentations including text and electronic presentations. Prepare, edit and distribute itineraries, letters, memos and meeting minutes and keep track of for events and meetings making sure that things are not overlooked Carry out routine office duties, including reception duties for the Supervisor, in a professional manner. Key Performance Indicators Efficiency of all meetings Accurate minutes of meetings available on-time Quality of business presentations Turnaround time Efficiency of the filing and record system Competence Requirement High ethical standard Ability to handle sensitive information Data Analysis Excellent research skills Good Business Writing Excellent communication skills Proficient use of MS Office & Excel tools Schedule Management Excellent organizational and time management skills. Ability to adapt quickly to changes in time frames. Educational Qualification A Bachelor’s degree in English, Business Administration, Sociology or any other relevant discipline Career Level Specification Candidate must be undergoing the NYSC post camp program Professional Qualification Membership of the Nigerian Institute of Professional Secretaries is an added advantage Desired Experience 1 year experience in a business administrative or related role Preferred Age Under 26 years old Job Contract Validity 12 Months Email: CVs to be sent to recruitmentstop@gmail.com |
