Job Title: PERSONAL ASSISTANT /SECRETARY TO THE DIRECTOR OF STUDIES

Location: LEKKI

General Duties
The PA/Secretary helps organize the office of the Director of Studies. The main tasks are administrative.

Roles and Responsibilities
• Answering telephone calls
• Arranging Appointments
• Filing documents
• Managing Database
• Prioritizing workloads
• Handling correspondence
• Implementing new procedures and administrative systems
• Liaising with relevant organizations
• Using a variety of packages such as Microsoft word, Outlook, PowerPoint, Excel, Access etc. to produce correspondence, documents and maintain presentations, records, spreadsheets and databases
• Liaising with staff in other departments and external contacts
• Devising and maintaining office systems
• Attending meetings, taking minutes and keeping notes.
• Ordering and maintaining stationery and equipment
• Sorting and distributing incoming post and organizing and sending outgoing post
• Organizing and storing paperwork, document and computer based information.
• Photocopying and printing various documents, sometimes on behalf of other colleagues.
• Safeguarding and protecting the welfare of children and young people

Requiremenst:
A HND/ B.sc degree with 1-3 years relevant work experience.
