Job Description

For this position, the job roles are as follows but are not limited to these only:


Performing administrative and clerical duties, including, but not limited to, mailing, sending of reports, preparation of quotations and filing correspondence, placing orders, etc. Downloading and analysis of bank statements for all Banks
Bank Reconciliation
Reach out to customer leads through cold calling
Assist in the preparation of customer visit reports and coordinate with sales managers to update the customer visit data


Manage financial documents such as invoices, bills, and accounts payable and receivable.
Manage day-to-day accounting and financial transactions.
Record office expenditures and ensure these expenses are within the set budget.
Prompt monthly filings for ALL statutory obligations – PAYE, Pension, ECS, VAT, WHT. and obtain receipts for same.
Support in the processing of payroll/salaries
Process payment for schedules for PAYE, ECS, and Pension.
Prompt and daily postings on QuickBooks.
Ensure the completion of all month-end close activities related to cost accounting Support Line Manager in the prompt delivery of Management Accounts.
Ensure completion of bank reconciliations and reconcile sub-ledgers to the general ledgers. Managing communication including emails and phone calls.
Scheduling meetings and appointments. Maintains files of all minutes of meetings.
Act as a Front Desk officer thereby welcoming visitors in a professional manner.
Handling concerns, questions, and queries from suppliers and visitors.
Arranging meetings by reserving office space and managing refreshments.
Maintain and order office supplies.
Making photocopies, scanning, and filing appropriate documents.
Maintaining accurate records and entering information into databases.
Assisting with organizing events when necessary.
Reach out to customer leads through cold calling
Assist in the preparation of customer visit reports and coordinate with sales managers to update the customer visit data
Preparation of daily fund inflow and outflow statement
Preparation of monthly turnover for all banks for review
Bank correspondence documentation, board resolution, fund transfer letters, and cheque book request letters preparation
Analyzing payment of staff salaries in the bank statement
Compiling of unutilized funds in current accounts and transferring same to overdraft accounts
Updating of records in the tracker and safekeeping/ tracking of all checkbook usage
