Job title: Admin Executive
Location: Abuja & Lagos
Reports to: Group Admin Manager

Purpose of the job: To assist the Group SM Admin in the day-to-day administration of the offices and residences. Manage costs and ensure timely delivery of assignments.

Key Areas of Responsibility
- Facilities Maintenance
- Fleet Maintenance
- Logistics

Facilities Maintenance:
• Assist with sourcing credible vendors for office repairs and maintenance.
• Supervise technicians and ensure all repairs on facilities are delivered to the satisfaction
• Ensures that all office equipment such as generators, inverters, air conditioners, etc is proactively maintained and in good condition at all times.
• Keep track of diesel usage, maintain reorder level and ensure timely supply of diesel without running out of supplies
• Assist with processing electricity bills, and payments and avoid disconnection of the power supply
• Handle the supervision of all electrical and plumbing repairs.

Fleet Maintenance:
• Monitor fuel usage on pool vehicles by tracking the millage of the fleet and updating each vehicles record
• Report on Admin expenses and monitors expenditure weekly
• Supervise mechanics and ensure quality repairs and services are carried out
• Assist with sourcing quality repair and service parts at the best market prices

Logistics:
• Coordinate movement and delivery of documents and items between the various offices across the nation in a cost-effective and proactive way
• Follow up with the Warehouse Manager on all requests and approvals for the dispatch of security kits and items to the Northern region through the office.
• Deploy kits for new engagements to all locations without delays and meet deadlines
• Schedule and coordinate in-house and external events assigned without issues
• Monitor stock movement, keeps records, and inform on depleting stock (weekly/Monthly)
• Ensure timely provision and record keeping of toiletries, stationeries and office supplies

Minimum Requirements:
Education: B.Sc/HND in any Social Science Discipline.
Experience: 0 - 2 years+ experience in an administrative role.
Skills & Knowledge: use of Microsoft tools like Excel, PowerPoint, word, and strong attention to detail, and good analytical skills.
