Yesterday, we gave some important tips on how Logistics companies can be at their best during logistics peak periods, you can read it here. On today's topic, we will talk about how other businesses and individuals can be able to meet their customers' demands during peak periods. Being able to satisfy your customers' demands is something that is indispensable if you must appear reliable in the eyes of your customer. Customers need reliability at a time when their demands are high because those are times their business can scale up significantly; below are practical tips you can apply to enable you look strong in that aspect; 1. Check historical data first: Planning effectively for any business especially ascertaining supply and demand trends begin by looking at historical data and digesting the information they give. Archived data about past sales, such as, which inventory products were best sellers, average order size, origin/channel of maximum orders (e.g. online or in-store) and other important variables will help inform the right order execution and fulfillment strategy. Importantly, measuring sales trends as they change will show spikes and curves in your sales data. By identifying what happened historically, you will be able to forecast for better future planning. In addition, answering the following questions will help direct your attention to important parts of the order fulfillment process for peak season: • What was the sales order target and how did fulfillment perform against it.? • What were the bottlenecks in inventory management and logistics? • How were these bottlenecks tackled? • What were the top 10 customer complaints, and how were they resolved? • How reliable was my customers and my logistics staff and partners? With answers to these questions, you should be able to make informed decision based on current realities. 2. Make customer satisfaction your end goal: Whatever you do during the peak period, make customer satisfaction your end. More than ever, customers value quick, timely deliveries and good quality support should any issues arise. If it’s logistically and commercially realistic, consider investing in your logistics to facilitate one-day delivery. Quick delivery is fast becoming part of the competitive proposition. That said, in some cases it’s simply not feasible. Smaller retailers may simply not have the resources or the margins. There’s good news in that case. Reliability is still more important than speed. When it comes to delivery, the chief concern for the customer is that their order arrives when the retailer told them it would arrive. Manage expectations, and deliver accordingly. Failure to meet promises can create some serious ill will and prevent shoppers from returning. 3. Get staff ready: If you as a business owner are ready to give your customers the best service during the peak season and your staff are not ready, then it's good to say that your entire business is not ready because however your staff works affects your business either positively or negatively. Let your staff know the high-volume period is approaching so they are psychologically prepared to stretch a bit further . During your staff meetings you can prepare staff in many ways, brief them about the heightened emotional state of their customers, train them to be more empathetic and see things from the customer's perspectives, and also assure them of your full support and your availability to answer their questions and clarify issues. You could even discuss simple stress management techniques to help them make it through the peak period. 4. Strategize with your logistics partner: How successful your sales efforts are during peak periods depends on how much you are able to get customer's orders across to them, and on time. Optimize your inventory; Stock-outs commonly happen due to faulty in-store ordering and replenishing practices, as well as a lack of visibility into the location of inventory shipments. Efficient transportation management that ensures the timely flow of products and services without errors is critical. If your items require importation from overseas, plan ahead and engage your logistics partner early enough. The truth is you are not the only customer your 3pl logistics partner may have, and they are working to satisfy all their customers at the same time. Discuss and agree on delivery dates, timelines, payment structure, frequency of deliveries and other important key aspects of your expectations. If you are working with Edas Global Supply Chain Limited, we will agree with you on parameters that meet your business needs, suggest best shipping methods for your goods and deliver. The Automated Export System(AES) is the central point through which export shipment data required by multiple agencies is filed electronically to Customs and Border Protection (CBP), using the efficiencies of Electronic Data Interchange (EDI). AES provides an alternative to filing paper Electronic Export Information (EEI). Export information is collected electronically and edited immediately, and errors are detected and corrected at the time of filing. AES is a nationwide system operational at all ports and for all methods of transportation. It was designed to assure compliance with and enforcement of laws relating to exporting, improve trade statistics, reduce duplicate reporting to multiple agencies, and improve customer service. The Automated Export System (AES) is a joint venture between CBP, the Foreign Trade Division of the Bureau of the Census (Commerce), the Bureau of Industry and Security (Commerce), the Directorate of Defense Trade Controls (State), other federal agencies, and the export trade community. How is AES done? The export process begins when the exporter decides to export merchandise. The exporter or the authorized agent makes shipping arrangements (booking) with the carrier. The exporter or the authorized agent transmits the commodity (EEI) information using AES. This information can come directly from the exporter or the authorized agent or through a service center or port authority. AES validates the data against editing tables and U.S. Government agency requirement files and generates a confirmation message or error messages back to the filer. If the carrier is participating in the Vessel Transportation Module the carrier transmits the Receipt of Booking message when the booked cargo is received and the departure message following the actual departure of the vessel. Within ten calendar days after departure, the carrier will transmit the entire export manifest electronically using AES. AES also validates the transportation data then generates either a confirmation message or an error message. Any errors messages generated by AES must be corrected and the corrections transmitted to AES. An AES filing is required for most exports of merchandise from the United States to a foreign country if the merchandise is valued at $2,500 or more. An AES filing is often submitted by the U.S. Principal Party in Interest (USPPI), which is typically the U.S. exporter. It can also be submitted by an authorized agent of the USPPI, such as a freight forwarder. A U.S. agent of the Foreign Principal Party in Interest (FPPI), which is typically the ultimate consignee, can also submit the EEI, such as when the buyer hires a U.S.-based freight forwarder to arrange the export. The address reported for the USPPI in the AES filing must be the address where the goods begin their journey to the port of export. If the exporter or the foreign buyer is relying on an agent or freight forwarder to file a submission through AES, they must present this agent with a written limited power of attorney or some other written authorization. While the responsibility of filing with AES can be out-sourced, the liability cannot. Be sure to request proof of filing if you authorize your freight forwarder to do it for you. All export data is compiled on the Census Bureau’s website for easy access for viewers. Once you put all the necessary information through AES, you get a 10-digit AES ITN code for your shipment. This unique number is now assigned to your shipment and can’t be erased. You must be really careful when filing AES for your export. If you’re not submitting the correct unit of measure and quantity, you will run into problems. Exporters who do not file, late file, or file false information, face severe consequences. Monetary and criminal penalties may be issued to exporters who fail to file complete, true, accurate and timely EEI in the AES. Penalties could start from $1,100 to $10,000.00 per day, and may include possible imprisonment for up to five years, depending on the failure. That’s why it is very important to be careful when it comes to file AES for your export shipment. While some of our clients ask for copies of the AES filings for their goods, others do not. But in all, we ensure we safely move our clients goods from the US, knowing all the relevant export laws applicable in the country. Let’s deploy our professionalism and compliance in handling of your goods. Contact Edas Global Supply Chain Limited, email info@edasglobalsupplychain.com or call +2347089921886

Hazardous or dangerous goods are materials or items with inherent hazardous properties which if not properly controlled, can present a potential hazard to the health and well-being of all living organisms and the safety of the environment. These goods can be solids, liquids or gases. They can be hot or cold, pungent or odorless, transparent or colored and their hazardous effects can be anything from minimal to fatal. They may be pure chemicals, mixtures of substances, manufactured products or individual articles on their own. The IATA FAQ page explains in more helpful words that they are “items that may endanger the safety of an aircraft or persons on board the aircraft. A typical example of how a dangerous goods can cause problems for humans is the explosion that happened at a Lebanese port when about 2,750 tons of ammonium nitrate stored at the port caught fire. This explosion killed hundreds of people and injured thousands; it literally leveled everything on its path. In 2014, a South Korean shipper incurred a $72,000 fine for non-compliant packaging and labeling on a shipment of paints and solvents. Around the same time, an Ohio-based distribution company failed to appropriately label packages and complete shipping paperwork for an air shipment of corrosive wood cleaner and paid $63,000 for its negligence. Shipping dangerous goods is a complex and highly regulated process, and it can be difficult, for a variety of reasons, to get compliance buy-in from everyone in your company involved with the shipping process. However, as many businesses have discovered, non-compliance with International Air Transport Association (IATA) and DOT regulations is expensive. Some classification of dangerous goods include; Class 1: Explosives • Fireworks, airbag inflators, ammunition, etc. Class 2: Gases • Aerosols, fire extinguishers, propane cylinders, etc. Class 3: Flammable liquids • Paints, lacquers, alcohols, etc. Class 4: Flammable solids, spontaneous combustibles, and “dangerous when wet” materials • Matches, carbon, sodium batteries, etc. Class 5: Oxidizers • Hydrogen peroxide, ammonium nitrate fertilizers, pool chlorine, etc. Class 6: Toxic or infectious substances • Medical waste, dyes, pesticides, etc. Class 7: Radioactive materials • Density gauges, medical treatment products, uranium, etc. Class 8: Corrosives • Acids/acid solutions, batteries, iodine, etc. Class 9: Miscellaneous • Dry ice, internal combustion engines, first aid kits, etc. Many of these classes are divided into sub-classifications according to various properties such as temperature sensitivity (also known as flash point), toxicity, and flammability. To successfully ship dangerous goods, below are tips that can help; 1. Have a detailed information on the item: Every product has an information sheet where you can get detailed information about the product. For every goods dangerous goods, there is what we call Material Safety Data Sheet (MSDS); this sheet gives you an indepth information on the product and makes viable suggestions on its handling. Get this sheet from the manufacturer or the shipper and study it to enable you or the airline make decisions. 2. Accurate packing and labeling: There are three packing groups corresponding to the level of danger involved: • Packing Group I (indicated by the letter “X” in shipping codes)—Great Danger • Packing Group II (indicated by a “Y”)—Medium Danger • Packing Group III (indicated by a “Z”)—Minor Danger Each of the packing group provides specifications for unit-size, quantitative limits, packaging closure instructions, acceptable packaging materials, single or combination-packaging limitations, and more. Once proper packaging is complete, the package must be labeled and placarded appropriately. Each dangerous goods class has designated signage including, among other things, color-coding, warning placards, and directional indicators. You must ensure that you pack your cargo adequately with the appropriate packing materials. Also, ensure the proper cushioning and lashing of the cargo so that it does not move inside the container and cause any leakages or damage. If hazardous materials and non-dangerous goods are transported in the same container, everything should be tightly packed, braced, and secured for transportation. 3. Safe Handling and Training of personnel: Once packing and labeling requirements have been met, the appropriate documentation forms required for the given modes of transportation (air, ground, and sea) must be completed. This final, essential step verifies the qualitative and quantitative details of the shipments and declares that the shipment is compliance with both international and national requirements. It is very important that all people involved in the chain of shipment are well trained and aware of the specificity of dangerous goods. From the cargo handlers, to the packers, equipment operators, documentary staff and truckers, everyone needs to be suitably trained not only in their job-specific tasks but also in the knowledge of handling dangerous goods. If you need an organization that can handle shipment of your dangerous goods, contact Edas Global Supply Chain Limited; we handle all your shipping requirements from origin to destination seamlessly. Consolidation in Logistics is where a carrier or a shipping company combines several smaller shipments into one full container. Consolidation can also be referred to as Less Container Load(LCL) or Groupage. To explain in simple terms, consolidation is logistics is where a shipper due to one reason or the other cannot afford to use a full container to convey his goods from one international location to the other. In this case, several shippers make use of the full container. For instance, shipper A may have 500kg of mechanical spares to ship, it will be unwise to use a full container so he opts for a consolidated service. Cargo consolidation relies on the use of a consolidation warehouse at the point of origin; that is, where the packages are starting out. A clothing store, auto parts store and electronics store may take their packages to a consolidation warehouse, where their smaller packages are combined into one bigger shipment. This consolidated package is then delivered to its destination, where the individual shipments are broken apart and delivered to each intended recipient. Just like when you buy multiple items from one website to consolidate shipping costs, businesses also enjoy reduced shipping costs - just one of numerous benefits of cargo consolidation. Here are several benefits that make freight consolidation a viable option for small business to grow; 1. Cost Savings: If your company is a small or medium sized concern, you understand how challenging it is to reach whichever shipping volumes are necessary if you must achieve scale and cost savings in your business. However, these potential challenges can be minimized considerably by aligning your transportation costs with other companies by networking and pooling shipments together, thereby maximizing your cost savings. 2. Supply Chain Consistency: For small or medium sized businesses who have consistent or repetitive orders for their products, they can plan the shipments with reliable freight forwarders and manufacturers to ensure that their goods are sent at specific times. This will greatly benefit the business in terms of cost saving and being able to maintain to the consistency of their supplies. 3. Less exhaustive regulatory procedure: Customs examinations and releases to individual consignees are done at designated bonded warehouses. What this does is that it saves consignees’ time and the pain of having to go through rigorous port procedures. For instance, if Customs clearance procedure is taking its toll on your profit margin, Consolidation becomes an option. This will not only cut cost and save time as stated earlier but take you through very light and less painful regulatory procedure. 4. Use Edas Global Supply Chain Ltd for your consolidation needs: Consolidation agent is as important as the decision to stay competitive in your chosen business because you need strategic partnerships with consolidators all over the globe. Do your shipments require structure, pedigree, and technical expertise to not only manage Consolidated shipments of diverse nature but also provide well-informed advice on possible outcomes? If yes, take advantage of the consolidation services provided by Edas Global Supply Chain Limited, not only to keep your business momentum but also to move your business to the next level. A logistics contract is a set of agreements between two or more parties, where the scope of services to be rendered by the freight forwarder on behalf of the shipper for specified fees are clearly defined, enforceable and legally binding. This logistics contract comes in form of documents which could be Proforma Invoice(signed by the shipper as a sign of agreement to the terms and conditions), Purchase Orders(POs), Service Level Agreements(SLAs). The logistics contracts are expected to have details like, Payment terms, Delivery timelines, Cost of Service delivery, Origin of item, Destination of item. For a logistics contract to be enforceable, parties involved must be able to ensure that they fulfill their own part of the contact because effectively managing logistics contract is important from the start because key requirements are communicated, performance gaps and potential risks are constantly identified and addressed as a result. How can you effectively manage a logistics contract? 1. Establish and Agree on the fundamentals: The fundamentals of a logistics contract has to do with specifics like, the names and contacts of the parties, the scope of work (it is important to define the extent of the work to be carried out), a clear statement to define the period of time to which the 3 contract refers, agreed cost of rendering the service, periods of notice, and any exceptional reasons for termination, Dispute resolution (a course of action must be specified in case of future need), signatories to the contract must have the authority to engage the responsibilities of the respective parties to the contract, agreement clause to ensure that nothing else outside the Written agreement is regarded as contractual between the parties unless it is amended or varied in accordance with the agreement, A clause to state how amendments or variations to the agreement should be dealt with. This is usually by requiring the same to be in writing and signed by both parties and attached to the agreement. 2. Ensure the incoterms is well understood by both parties: “Incoterms” is an abbreviation for International Commercial terms, and they are series of pre-defined commercial terms published by International Chamber of commerce relating to international commercial law. Incoterms are used in international commercial transactions or procurement processes, and their use is very much important because it sets out the delivery terms between the buyer and seller. Incoterms allows the parties to designate a point at which the costs and risks of transport are precisely divided between the seller and the buyer. Incoterms also allocate responsibility for customs clearance/duties between the parties. Understanding the International Commercial Terms (INCOTERMS) is another effective means of managing a logistics contract; customer expectation and key requirements throughout the entire transaction process. INCOTERMS would define the mode of delivery, who must arrange for customs clearance and licenses; passage of title (transfer of rights); transfer of risk and insurance responsibilities; what the delivery terms are; how transport cost will be allocated between the parties and when the delivery process is completed. 3. Communicate: Communication. Written communication is the most common form of business communication. Since emails and all forms of messages across multiple platforms can easily be sent to multiple recipients situated across offices, countries, and continents, it is essential for all professionals to develop effective written communication skills and to encourage the same in all employees. A clear, concise, and consistent message is the hallmark of effective communication A firm understanding and effective management of the technical details of a logistics contract is as important as the contract itself. It ensures that the contracting parties are adequately rewarded for their commitment to contractual obligations. If you need a reputable organization that can help you manage and execute your logistics needs or contracts, get in touch with us at Edas Global Supply Chain Limited. WHY YOU MUST CHOOSE THE RIGHT FREIGHT FORWARDER. The rising demand for exports and imports across the globe certainly calls for an increase in the activities of freight forwarders and such demands are certainly not going to stop or reduce anytime soon. These forwarders are therefore as crucial to the continuity of a business as is the company or producer of the goods. Simply put, a freight forwarder is the intermediary between a manufacturing company and the transporters mostly across international borders. Some of the benefits of engaging the services of a forwarding company include: • Organization/Documentation: This is a very important factor for every well meaning business that wants to have a feeling of control over their supply chain and can quickly bounce back incase of any unfavorable situation. If a shipment becomes lost, a lot of phone-calls and messages could be exchanged all in a bid to find the shipment with everyone around keeping on his/her toes. A freight forwarder on the other hand simply utilizes their skills/wide network to quickly fish out the problem and offer and immediate solution.
