JOB TITLE: OFFICE ADMINISTRATIVE OFFICER

DEPARTMENT: FACILITIES MANAGEMENT

REPORTS TO: CORPORATE BRAND AND FACILITIES MANAGER

LOCATION: CORPORATE OFFICE

JOB PURPOSE:

TO OVERSEE AND COORDINATE OFFICE PROCEDURES BASED ON APPROVED POLICIES AND PROCEDURES AND CONTRIBUTE IN ENSURING THE SMOOTH RUNNING OF THE CORPORATE OFFICE. PROVIDE ADMINISTRATIVE SUPPORT TO THE CB&F MANAGER.



FUNCTIONS: PROTOCOL/ INVENTORY MANAGEMENT/SUPPLIER MANAGEMENT/INTERNAL CONTROL /ADMINISTRATIVE SUPPORT



INTERACTIONS:

SUPPLIERS/THIRD PARTY SERVICE PROVIDERS/GOVERNMENT
UTILITY AGENCIES/ALL DEPARTMENTS /HGL PROPERTY MANAGEMENT COMPANY/IMMIGRATION/LEGAL DEPARTMENT/DRIVERS/JANITORS/DISPATCH RIDER




PRINCIPAL ACCOUNTABILITIES:

• TO RECOMMEND OFFICE PROCEDURES AND SYSTEMS AND SUPPORT IN THE DEVELOPMENT PROCESS.

• TO PROCESS LOCAL PURCHASE ORDERS AND INVOICE PAYMENTS.

• TO ENSURE PROMPT PAYMENTS TO ALL SERVICE PROVIDERS (PHCN, NITEL, CELTEL, MULTILINKS )

• TO UPDATE AND MANAGE DATABASE OF THIRD PARTY SERVICE PROVIDERS.

• TO MONITOR ALL LEASE AGREEMENTS, GIVE ADEQUATE NOTIFICATIONS OF EXPIRATIONS AND MAKE RECOMMENDATIONS FOR RENEWAL CONTRACTS ON LEASED PROPERTIES, AND TO ASSIST IN THE NEGOTIATION OF THE TERMS OF AGREEMENT.

• TO BE RESPONSIBLE FOR THE MAINTENANCE OF HONEYWELL CORPORATE OFFICE BUILDINGS AND VEHICLES IN LINE WITH CORPORATE STANDARDS AND TO CONSTANTLY REVIEW MAINTENANCE AGREEMENTS TO IMPROVE EFFICIENCIES.

• TO MAINTAIN AN UP TO DATE INVENTORY OF ASSETS WITHIN THE CORPORATE OFFICE. (THROUGH MAINTAINING A PHYSICAL ASSITS DATABASE IN CONJUNCTION WITH FINANCE )

• TO ENSURE ALL HONEYWELL GROUP CORPORATE OFFICE PROPERTY AND VEHICLES ARE PROPERLY INSURED.

• TO BE RESPONSIBLE FOR BEST VALUE NEGOTIATION AND PURCHASE OF ALL COMPANY VEHICLES.

• TO EFFECTIVELY SUPPORT THE CORPORATE BRAND AND FACILITIES MANAGER IN MANAGING ALL PROPERTY (RE) DEVELOPMENT PROJECTS THROUGH TO COMPLETION AND TO MAINTAIN INTERACTIONS WITH ARCHITECTS, SURVEYORS, CONTRACTORS AND HONEYWELL PROPERTY MANAGEMENT COMPANY DURING THE COURSE OF THE PROJECT.


• TO ENSURE THE CONSISTENT DELIVERY OF PROFESSIONAL SERVICE BY OUR SERVICE PROVIDERS; IN LINE WITH THE COMPANY’S HEALTH AND SAFETY GUIDELINES.

• TO PROVIDE A SAFE, CLEAN AND COMFORTABLE WORKING ENVIRONMENT FOR HONEYWELL GROUP STAFF AND VISITORS.

• TO ACT AS THE CONTACT POINT FOR THE DRIVERS; SECURITY; SERVICE PROVIDERS.

• TO PROVIDE OFFICE ADMINISTRATION SUPPORT IN THE AREAS OF PROCUREMENT, REPORT PREPARATION AND STAFF COMMUNICATION.

• TO CONTRIBUTE IN THE PREPARATION OF ANNUAL ESTIMATES OF EXPENDITURE, MAINTAIN BUDGETARY AND INVENTORY CONTROLS ENSURING 100% SOX COMPLIANCE.

• TO REGULARLY COMMUNICATE EFFECTIVE BUSINESS PRACTICES TO TEAM AND DEPARTMENTS.

• TO SUPPORT THE REVIEW AND MONITORING OF ALL CONTRACTS FOR THE SUPPLY OF GOODS AND SERVICES ENSURING THAT THEY OFFER BEST VALUE FOR MONEY.

• OVERSEE THE WORK OF NON-PROFESSIONAL EMPLOYEES TO ENSURE IT MEETS ESTABLISHED QUALITY STANDARDS.

• SUPPORT THE COORDINATION OF ALL ACTIVITIES RELATING TO TICKET PROCUREMENT, INTERNATIONAL AND DOMESTIC ITINERARY TRAVEL ARRANGEMENTS, HOTEL ACCOMMODATION, EXPATRIATE QUOTA ALLOCATION , PERMITS PROCESSING AND AIRPORT TRANSACTIONS.




JOB SPECIFIC CAPABILITIES AND EXPERIENCE:

EXPERIENCE:IN HOUSE TRAINING WOULD BE PROVIDED

• TECHNICAL KNOWLEDGE OF FACILITIES AND PROJECT MANAGEMENT; SUPPLIER MANAGEMENT

ESSENTIAL:-
• EDUCATED TO DEGREE LEVEL OR ITS EQUIVALENT.
• PREVIOUS EXPERIENCE IN ADMINISTRATIVE ROLE.
• ABLE TO COORDINATE AND PRIORITISE WORKLOAD
• KNOWLEDGE OF BUSINESS CASE PREPARATION
• ADVANCED PC SKILLS USING WORD, EXCEL AND POWERPOINT SOFTWARE.
