How Will Laserfiche Benefit My Organization?
Picture this familiar scenario: An employee has misplaced a crucial document, and your team needs it now.

You’ve searched everyone’s office, and practically turned the building upside down in hopes of finding it. Time is running out. Other important processes are stalled and waiting on the retrieval of this document to move forward. Sounds like a headache, doesn’t it?

With Laserfiche, you’ll avoid nightmare-inducing occurrences like the one we just described. In fact, you’ll be able to capture, secure and automate documents from day one. A user-friendly interface makes it easy to manage all organizational content throughout its lifecycle with your desktop computer, scanner or mobile device; all it takes is one application.

Laserfiche can be used to keep track of everything from business expenses to project feedback. Users have the freedom to design and configure forms without the assistance of a developer, saving time and money.

To further streamline the process, you’ll be able to automatically pull up personal information from primary apps and approve forms by simply hitting reply on email notifications. User credentials maintain confidentiality and security. Authorization may be provided to users inside and outside your organization for easy sharing and collaboration.

Digital signatures allow users to sign off on reports. Files can be attached to these forms and submitted all from the Laserfiche interface, eliminating the need for multiple programs and processes.

It will become mandatory for judges and staff of Nigerian courts to communicate court documents with lawyers by electronic mail from July 16, the Chief Justice of Nigeria, Walter Onnoghen, has announced.
Mr. Onnoghen made the announcement on Friday while speaking at the launch of the newly Retrofitted Court and Legal Email System which took place at the Supreme Court.
He said the email system, which is a unique feature of the day’s event, will replace manual forms of communication between judges, court staff and lawyers.
“I will like to implore all judges and lawyers to join us on this quest for excellence by subscribing to, and acquiring the legal email, as manual forms of communication within the Nigerian Courts will soon be phased out.
“Henceforth lawyers who have acquired the Legal Email can now communicate electronically with the courts and with each other. However, by July 16, it becomes mandatory.
“The Supreme Court will only serve processes by electronic means. (Legal mail). Hence all new filings as from July 16 must bear counsel’s legal email address.
“To ensure compliance, it is also imperative that all other heads of Courts aquire the Legal email addresses for their Courts from the JITPO Committee, especially for the Litigation Department staff.
“All courts are also encouraged to start using the email for serving lawyers. In addition, communication between the various Judicial bodies will soon be through the official email system only, thereby harnessing the benefits of the system in terms of confidentiality, integrity and availability,” Mr. Onnoghen said.
Mr. Onnoghen said the new email system will work better when the bar and the bench work together to improve it.
“From the inception of the email project, the committee of which the President, Nigerian Bar Association is a member, worked in tandem with the bar to ensure the successful completion of what we are witnessing today.
“I trust that the bar association will now drive the adoption so that the system will be fully operational within the period hereby stipulated.
“The quick adoption of the system will enable us move forward to improve and implement the other components that depend upon it. We must all take ownership of this project. It must not fail,” Mr. Onnoghen said.
The CJN noted that Nigeria had already developed and deployed the Nigerian Case Management System (NCMS) software, adding that the NCMS is the backbone of court automation project in the country.

Human Resources (HR), along with many other departments, depends on document-driven processes to get work done. For example, employment contracts must be read and signed by new employees during the onboarding process. In a paper-based office, this process requires someone to make sure the contract is accurately prepared, printed, signed by the employee, received by HR and properly filed. Although the employee contract is an essential part of onboarding a new employee, spending hours of valuable time to complete this process on paper is not.
Here’s an explanation of how enterprise content management (ECM) software and business process automation (BPA) help HR professionals work more efficiently, plus a list of seven core HR functions that can be automated.
What is HR Automation?
Enterprise content management (ECM) software reduces the time it takes to complete tasks—without sacrificing quality of work. Organizations use ECM to capture, store, secure and access information by:
Importing documents into a digital repository, whether they originate on paper or in a digital format.
Organizing them in the repository, where authorized employees can search for, retrieve and edit documents.
Keeping files in a standard format (such as TIFF) that can be easily shared across devices.
Archiving records as non-editable files and retained according to a compliant records retention schedule.
Making information simpler to locate during an audit or records request.
Business process automation (BPA) facilitates these document-based processes and should be an integral part of your ECM solution. BPA handles many of the administrative tasks that, though critical, slow down productivity when performed manually. Such tasks include filing documents, creating new folders and transferring documents between employees. BPA software also eliminates the need for paper-specific tasks like making photocopies and gathering handwritten signatures. For many organizations, BPA is more than a convenience—it’s become a primary focus. Towers Watson, an HR consulting firm, performs an annual survey of global organizations’ HR goals and practices. In 2013, the survey observed that “talent management” was replaced by “reengineering business processes” as a top priority for HR. The Hackett Group’s finding that 89% of participating organizations intend to invest in technology or automation in 2014 confirms this shift in focus.
Which HR Tasks Can Be Automated?
Here are some core HR functions that can be improved with automation:
Timesheets. Send instant, regular reminder emails for employees to review their timesheets.
Benefits. Track when employees become eligible for benefits enrollment.
Health and safety. Send update emails to floor monitors when an employee leaves the organization or moves to a new floor.
Employee recruitment. Automatically store applications submitted online in the ECM repository and assign them to a recruiter for review.
Employee onboarding. Send confidentiality agreements, waivers and other forms to new hires and, once completed, send them to the corresponding folders in the ECM repository.
Tax forms. Facilitate the distribution tax documents with employee email reminders.
Employee records management. Retain employee records according to government regulations in the ECM repository.

Tax forms. Facilitate the distribution of W2s and other tax documents with employee email reminders.
Employee records management. Retain employee records according to government regulations in the ECM repository. #TecresTechnologies

BusinessCreative Ways You Can Archive Your Documents For Enhanced Productivity by Tecres(op): 8:59am On Nov 10, 2016
Document management software comes in different types. There are the web-based document management system, Client Server based, Database and the most recent one which is the Cloud-based document management system.

How do you decide which of this software is the right approach for you? This might be one of the toughest decisions to make because each document management vendor will give you their personal reasons as to why you should buy the software they are offering you. However, your final decision should be based on how you want to use your document management system and how your It infrastructure is designed.

Here are some of the key features of each document Management System that can help you in your decision-making process.

1. Web Based Document Management System: One of the strengths of this platform is that it doesn’t need the deployment of a client software package. The internet browser on each workstation is the access point for the document management. Most Web-based packages lend themselves to supporting multiple branch operations right out of the box.

2. Client Server Based Document Management System: This type of DM is based upon a system where a server-based software package is linked to a client software package which resides on each user's workstation. The principal behind this type of system is that the server software does the heavy lifting like database searches, managing capture systems, file conversions from scanned paper and security management. The client software handles the user interface, document viewing and some of the data processes. These types of systems are often found in legacy document management packages since the computing horsepower to deal with large document sizes was not generally available a few years ago.

3. Database Document Management System:These types of packages are usually integrated with the underlying data based structure like Oracle or SQL (Structured Query Language). By storing all of the information of the document management in the same database, they have the opportunity to have a more robust and sophisticated linkage between image and date. The downside is often in licensing model of the date and the additional horsepower they may require.

4. Cloud Based Document Management System: This type of document management was originally called “Hosted Document Management”. Cloud-based packages make use of software that is run on the host’s system and permits the users to operate using a link over the internet. They are similar to the Web-based packages except that in the cloud scenario, the user date is stored on the host’s server rather than on a server located in the user’s office. The benefit, is that there is no software to acquire but a monthly subscription is used to pay for the services.

Every one of these types of document management system has their uses, benefits, attractions and their challenges. In most scenarios, it is not the platform decision that will dictate a choice of software but the key features that each platform provides. These features include;
Level of document security
Ability to easily integrate other devices
Need for remote or local access
Types of files being stored
The amount of data to be handled
Price
Licensing provision
Support plan
Software operating system etc.

So, how for example is this applicable, to an Independent Entertainment Productions outfit comprising a TV Station, an Interactive Web Portal with active social media profiles and a Public Relations/Advertising Arm with interests in going into Wide Area Digital Signage advertising?
Agencies today are faced with the increasingly difficult task of winning new business. Agencies now deal with larger volumes of content than ever before which can make relevant information difficult to locate. Agencies are also doing more business around the world, employee attrition rates are increasing, file types are evolving, and agency personnel are more mobile. In addition, the time window for successful RFP responses continues to shrink. More than ever employees need instant access to agency content.

According to Alexandra Wood of Havas Worldwide - one of the largest integrated marketing communications agencies in the world "we are putting user-friendly systems in place to help people within our organization find the information they need, when they need it.... creating easy-to-navigate systems that align with their users’ needs impacts their competitive advantage."

According to Brian Cristiano, CEO and Creative Director of BOLD Worldwide "At BOLD, we use a state-of-the-art dashboard where we consolidate information and data we deem important to us and our clients."

Understanding Enterprise Content Management

Enterprise content management (ECM) is a set of defined processes that allow a corporation, agency or organisation to obtain, organise, store and deliver information crucial to its operation in the most effective manner possible.

A primary goal of ECM is to eliminate ad hoc processes that can expose an organisation to regulatory compliance risks and other potential problems. Full-function ECM systems include features such as document and records management, content taxonomies, auditing capabilities, check-in/check-out and other workflow controls and security mechanisms.

An effective ECM can streamline access, eliminate bottlenecks, optimise security, maintain corporate integrity and minimise overhead. The first step is to document all the types of content that the organisation deals with, the business processes it's part of and who handles it. ECM software tools can be used to identify duplicate and near-duplicate content, allowing the organisation to keep a few copies of a particular piece of content instead of hundreds.

ECM has become increasingly important and complex in recent years for a number of reasons. Financial fraud and data breaches, and regulations designed to prevent them have made effective information governance essential not only for compliance reasons but also to help protect the organisation's reputation. Enterprises also need to manage content effectively for integration with business intelligence/business analytics applications that help them to use the available information to guide business decisions.
