Day 1: The WHY of Project Management (PM)

8:30pm yesterday, another cohort of the PM2Grandma Mega-Online Class started, with much excitement and vigour.

It was the first class in our e-journey, we started by briefly introducing ourselves to ourselves and to the concept of project management itself.
In our usual collaborative way, we all took turns to express our idea of PM. Interesting points and personal experiences were expressed by the various ‘big n high’ men and women in class from various countries. I was awed!


PMP certification or not; the knowledge of project management would go a long way in structuring numerous unstructured approaches to many areas of your personal and business life. With the knowledge of project management, you become a better leader, coordinator, facilitator, goal setter, manager of limited resources among other benefits. Essentially, you signal to your colleagues and employer that you are ready for bigger profile!


Yes, we might be getting some form of results in our current endeavors. If you have been this lucky, thank God but know that this is not enough. You should strive to get the right result while ensuring you are efficient and effective about use of resources (cost, time, materials etc), carrying the right people along and more!


The ‘Why’ of project management can be summarized around the following themes: Taming Chaos, Managing Risk, Managing Quality, Managing Integration, Clearing Issues, Maximizing Resources, Managing Change and Managing Knowledge.
Each of the items above are huge worlds with copious explanations.

These and more would be extensively thrashed in this unique training to Digest Project Management Knowledge, Blow up Managerial Capacity and Blast the PMP Exam.

Day 2: "Nothing is Particularly Hard (to accomplish) if You Divide it into Small Jobs"

Yesterday's session had an interesting mix of stories and analogies. Though I am quoting Henry Ford (1863-1947), an American industrialist and founder of the Ford Motor company, this concept did not originate from him.


From the beginning of time, dividing things up and managing from the components have been a core principle of nearly everything. As I normally chant in my trainings, "never manage a big thing as a big thing, break things down!"

In an earlier training cohort, a participant brought an interesting dimension to this principle.

Warning: you might not like this...

God Almighty, from the various scriptural sources created creation in a structured way. Almighty as He is, He could have decided to bring forth the heavens and earth in a single day but in His infinite wisdom decided to stagger this action. He is probably teaching all of creation an important lesson.

This pattern is evident all around us; look at knowledge/education, organizations, government etc
We even went ahead to discuss how this relates to personal effectiveness.


How does this relate to Project Management?



Managing projects is complex and could be overwhelming. The only way to simplify is to break it down.


_There is no 1 THING that is an embodiment of project management._

You would be doing lot of bits and pieces of tasks and activities of different kinds. Luckily for us, the experts have standardized these into various bodies of knowledge. According to Project Management Institute (in PMBOK6), there are 49 processes that should/could be carried out as part of managing a project.


These processes are categorized around 2 broad themes:

- PROCESS GROUPS: based on the project stage in which the process is carried out (from Initiating to Closing)

- KNOWLEDGE AREAS: based on the core nature of the processes themselves (Cost, Risk, Stakeholder etc)

An interesting "may-i-never-forget" analogy was used in class to explain this. Let me not bore you 'jare'. :upside_down_face:

Understanding the concepts of project management processes, process groups and knowledge areas is a fundamental basis for all we would be discussing afterward. We spend sufficient time thrashing this.

Oops, this is getting too long already, I would have given us an overview of what we discussed about *proactivity*, the hallmark of a Professional Project Manager.

Day 5 *Two issues you should know about*

Yesterday's PM webinar ended few minutes to 10pm.

I was particularly please that we had finally finished the fundamentals of Project Management and moving to the meat of the matter.


Processes and their ITTOs [Inputs, Tools & Techniques and Outputs], Knowledge Areas, Process Groups are fundamentals concepts we have extensively thrashed & dusted at this point in the class.


As usual, the class was interesting and 2 stories stand out.

=> Are process groups the same as Project Phases?

It is my teaching style not to make assumptions about my students' understanding of fundamental principles.

As I usually do at this point, I decided to throw in an innocent-looking question - "In managing a project, are Process Groups the same as Project Phases?"

Na so opinions start to rise and fall.

Mission accomplished, I was simply testing how solid the foundation was before moving on. Interestingly, for this class, the discussion was even milder [i encourage a lot of collaboration in my classes].

At the end, they eventually came to an agreement that the correct position is that they are different. In my usual style, I did not stop there, you must explain why.

Essentially, Project Phases are "cut-out" sections of a full project for various reasons. The point here is that a phase would be handled as though it is a Project on its own with all Process Groups running through it from Initiating down to Closing.

Let me not bore you anymore.

=>Project Charter

You cannot talk about projects without talking about the Project Charter. It brings a project into existence and assigns/authorizes a Project Manager.

No Project Charter, No Project!!

A number of analogies came up while we were explaining this in class.

The first is the analogy of the MACE in the House of Assembly. It is a symbol of authority for the House. [As I was told,] The House is practically powerless without it. So is the project without the Charter.

Another interesting one is the analogy of Someone in a University. No matter the number of years you use on campus, you are not a student if you have not been matriculated. Without this, you are just a random dude strolling around University ground.

Such is the fundamental importance of a Project Charter.

It is best issued as a written document. It contains Cost and Schedule goals, Project Justification, Project High-level requirements, High-level risks, Assumptions, Constraints and more.

Let me stop here.
