A financial institution is in need of a Human Resource & Administrative Office Manager Office Location: Victoria Island, Lagos Job Title: Human Resource & Administrative Office Manager DUTIES AND RESPONSIBILITY Maximizing the return on Investment from the Company’s human capital. Responsible for HR functions and organization of the administrative activities that facilitate the smooth running of the office/ department. HR responsibilities include implementation and maintenance of strategic policies and procedures that support the company culture, including management of talent acquisition, retention and development, performance management, compensation and benefits, employee and labour relations. Administrative responsibilities will ensure that office equipment is maintained, the staff are doing their jobs accordingly and will support and report to the CFO. Key Activities: 1. Policies and Procedure 1.1 Review company policies and procedures and make necessary changes in accordance with legislative requirements 1.2 Prepare HR strategic plans, budgets and forecasts in accordance with company guidelines 1.3 Prepare, implement and manage HR and company rules and procedures 1.4 Prepare, keep up to date and educate employees on the Employee Handbook 1.5 Produce and update organizational charts for the company 1.6 Planning, developing, implementing strategy for HR department and development in an effective, legal, fair and consistent manner (including recruitment & selection policy/practices, discipline, grievance, counseling, pay & conditions, contracts, training & development, succession planning, morale & motivation, culture & attitudinal development, performance appraisals and quality management issues 2. Staffing 2.1 Give sound and accurate advice to hiring managers in relation to employee relation issues 2.2 Attend to disciplinary matters, review queries and issue warning/termination letters to affected employees where required 2.3 Deal with grievance issues as required 2.4 Liaising with other functional/ developmental managers so as to understand all necessary aspects and needs of the Human Resources and to ensure that they are fully informed of the Human Resources objectives, purposes and achievements 2.5 Maintaining awareness and knowledge of contemporary HR theory and methods and provide suitable interpretation to directors,managers and staff within the Company 3. Recruitment and Selection 3.1 Provide hiring managers with Job Analysis and Job Description services, assist with defining employee Key Performance Indicators (KPI), employee deliverables and person specification 3.2 Advice on recruitment and selection processes 3.3 Coach hiring managers in the recruitment process 3.4 Conduct exit interviews for employees 4. Performance Management 4.1 Oversee the Performance Appraisal system 4.2 Establishing and maintaining appropriate systems for measuring necessary aspects of the Hunan resources development 4.3 Advise managers with evaluation of employee Key Performance Indicators (KPI) 4.4 Manage and oversee the Probation Period process for all employees 5. Remuneration 5.1 Work with hiring managers to set remunerations and compensation Packages 5.2 Liaise with CFO and other relevant departments and members of staff in carrying out and managing all payroll functions of the Company 6. Administration Specialist 6.1 To maintain office services by organizing office operations and procedures; controlling correspondence; 6.2 To maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement 6.3 To design and implement office policies by establishing standards and procedures 6.4 To keep management informed by reviewing and studying the happenings in the company 6.5 To maintain office staff by recruiting, selecting, orienting, and training employees 6.6 To maintain office staff job results by counselling and disciplining employees; planning, monitoring, appraising job results and initiating corrective actions. 6.7 To maintain the condition of the office and arranging for necessary repairs; 6.8 To review and update health and safety policies and ensuring they are observed; 6.9 To supervise and conduct all administration matters pertaining to the HR function, including but not limited to just confidential employee information 6.10 To manage the day to day operation of the employee relations function including employee vacations, employee absences, health care enquiries, etc. 6.11 To enforce when necessary the importance to employees of complying with the HR policies, processes and procedures. 6.12 To handle the general office management 6.13 To arrange travel, visas and accommodation for CEO, executives, directors and the team 6.14 To screen phone calls, enquiries and requests when appropriate 6.15 To meet and greet with visitors when necessary on behalf of executives 6.16 To organise and maintain calendar for appointments 6.17 To deal with incoming email, letters and packages, often corresponding on behalf of the CEO and other executives 6.18 To carry out background research and presenting findings when necessary 6.19 To produce documents, briefing papers, reports and presentations 6.20 To organise, attend meetings and ensure that the CEO is properly briefed on/for the meeting 6.21 To liaise with clients, suppliers and other staff. 6.22 To be a general support for the CFO and handling various key projects 6.23 To be involved in decision-making processes 6.24 Assist in negotiating purchases with vendors for supplies/ services. 6.25 Prepare various purchasing contracts and agreements (PO’s) 6.26 In-charge of company travels and events 6.27 Maintain departmental meetings and minutes 6.28 Maintain drivers schedule for payroll purposes 6.29 Collect and maintain petty cash for fuel/ car maintenance 6.30 Oversee that all files (both admin and finance) are in order 6.31 Work with drivers to ensure all vehicles are in good working condition 6.32 Ensure the facility and environmental outlook of the company is well maintained 6.33 Miscellaneous admin duties and ad-hoc reports as needed 7.
