It’s been 36days since Academic Staff Union of Universities (ASUU) went on strike, few hours ago news began to spread that an agreement has been reached with the Federal Government (FG) and grey areas sorted out… Late yesternight, I went on Facebook to check out some feeds, a friend posted this and I commented.

After sharing some experiences that I had during the strike with him, I felt I should make this my first write up on medium (not on my tech bloghttp://timtech4u.com.ng/) :-D
In the past months, I’ve traveled while activities were going on in school and participated as a Student at: NHEF Scholars Program https://www.thenhef.org/, Very Large Data Base Endowmenthttps://medium.com/@profwidom/dedicated-nigerian-host-assembles-300-students-from-around-the-country-ae88283bab72 and Dutch-Nigerian Student Business Challenge 2017https://www.tudelft.nl/2017/global/dutch-nigerian-student-business-challenge-2017/.

I’m a Computer Science Student at Bayero University Kano (BUK), Kano State. ASUU went on her recent strike on the 13th of August, 2017 and I waited till the 18th of August to ensure the strike was not just for a week, I decided traveling to Abuja, the Head Office of a Software Company http://flexisaf.com/ where I work part-time as a Developer.

On getting to Abuja, I met with a colleague which has been working on a product I was once part of, he told me of the recent changes on the project and I was able to deduct that their’s a few more work to be done. The changes on the project was to make it better and flexible for other developers, he ensured every part was modularized and it was easy for me to pick up. I had to struggle with my health for like a week but I knew something better was coming.

As a Developer, maintaining codes previously rewritten is often harder than writing newer codes, I was actually maintaining codes I did not write and writing more :-D

Learning
However, I took a bold step of staying up late at night to learn those newer concepts, technologies, I even purchased a Coursehttp://udemy.com/. This helped me in learning alot over the short time of my stay and also increased my contribution to the project.

Events
I had the opportunity to attend a meetup and a national conference, of which I learnt alot more and also met with mentors.


Studying
I won’t be a good student if I’d spent zero time on my school activities during the strike period, it was an opportunity for me to learn from another colleague.
As computer scientists, Data Structures and Algorithms are very important for computational problems arising frequently in practical applications: sorting and searching, divide and conquer, greedy algorithms, dynamic programming.
He gave me resources and some tips to scale through the learning complexities.

It makes sense to have good knowledge of the target user. One way to do that is to create a persona i.e a fictional representation of your target user. It contains information about a user like t heir age and relevant personal preferences. When you understand your target user, you can tailor your application to their needs. The User should be the cardinal point of your decision making.

2. Prioritize Performance
Users would leave an application or website that is too slow. Optimize your application for speed. Some of the ways to go about this is to leverage caching, reduce http calls, compress files e.t.c. Indicating loading where necessary so that users would not be left wondering.

3. Keep it Simple

Simplicity is the ultimate sophistication
Your aim is to help the user solve a problem, you want to make that very easy to accomplish. Make frequently used actions more prominent and try to avoid unnecessary detail.

Have a clear understanding of the problem at hand then propose a very intuitive solution

4. Adopt an Iterative UX Process

At any point of the development process, it is necessary to know how users would feel about your application. It is therefore good to collect user feedback and keep refining the application to suit users. At any point in your development cycle, take a step back and evaluate how the final User Experience of the application would turn out.

5. Design an awesome User Interface

A good looking User Interface helps User Experience. To design an awesome user interface here are a few pointers

Use an appropriate scheme
Align elements on the page to a grid

The Nigeria Police Schools http://www.npfeducation.gov.ng/ are managed by the Directorate of Education, Nigeria Police Force. Currently there are 9 Police Secondary Schools and 79 Police Children Schools in 32 states of the Federation and the FCT.

The standards of the schools vary from one school to another with some schools lacking in ICT infrastructure and others having a remarkable infrastructure. But one thing in common among the schools is the way they manage their schools’ records: everything was manual.

The directorate which is located in FCT does not readily have access to the individual records. They usually depend on the high level reports sent from the individual schools.

Communication with parents was not also very effective and flexible. It was usually done through notice boards or newsletters.
Solution

In February 2014, a project to computerize the police schools began with 7 of the secondary schools. An online portal was developed and the 7 schools configured on the system. Digitizing the schools records started by configuring their classes and subjects. Template for uploading students’ information was distributed to the schools to populate the data which were mostly in hard copies.

Train the trainer workshop was organized with 2 staff representing each of the school. At the end of the workshop, the students’ information was uploaded with Police Secondary School Minna having the highest number of students of over 2000. The representatives were equipped and took charge of administering their application and training the remaining staff of their schools.

Since the application is online, Internet is a key requirement for access. Some of the schools already had their Internet solution. The remaining schools depend on 3G Internet by the telecoms.
Result

By the end of the term, the schools could generate digitized reports and statistics with a computerized result for their students. The Directorate now has access to accurate information at the finger of their tips.

Parents are communicated on their ward’s academic progress via SMS and they can log on through the portal to view detailed analysis of the records.

After the success recorded for the secondary schools, four (4) months later, 18 primary schools were brought on board and the train the trainer workshop undertaken. Later on 30 more primary schools were commissioned on the portal bridging a total of 54 schools out of the 79 schools.

Next Steps

So far, 25 schools are remaining and will be brought on board before the end of 2014/2015 academic session. With all the schools now online, focus will be on curriculum-based learning and assessment, computer-based testing (CBT) and an EMIS platform for the Directorate. The Directorate will then be able to get relevant reports and analytics of the schools instantly, view the schools on Map and deep dive into minute details of each school.

As important and necessary as it sounds, it has remained a wishful thinking in most institutions. It is not uncommon to see students’ approved results by the Senate to be different from what is on their registration forms. The Examination Officers (or those in charge of computing results) most often have to “Add/Drop” students’ courses to conform with the approved curriculum/standards. I am talking about “Controlled Registration” and to give you a perspective of what it’s all about the following questions (usually asked during our interaction with most institutions) will do a good job:



– Can the software prevent students from registering more than the maximum units allowed?

– Can it ensure that they register their level courses first before registering higher level courses?

– Can it force students to register their carryovers first?

– Can it force students to register their outstanding courses first?

– Can the software prevent students from registering courses which they did not pass the pre-requisites?

– What about ensuring that they register the correct elective courses?



While the first 2 questions seem to be a no-brainer, it is obvious that the other questions require some intelligent system that will provide information about the students’ academic records and adequate information about the courses.



I recall sometime I was having a chat with one of the “Portal Providers” and I was explaining to him that our approach to students’ records management is to automate every aspect of result computation and use the output in solving problems and improving the user experience. I admired his boldness then to admit that it was really ambitious to take that approach. But having had experience as far back as 2007, for us this is a must solve challenge and it has been our biggest strength and the most comfortable zone.



It is the main differentiator between SRMS and other “portals”. While most solution providers shy away from the most challenging (or rather interesting) task which is a centralized result computation, it has always been the strongest area for FlexiSAF.



The simple solution to most of the problems is “to integrate the registration system with the results” and both systems have to be centralized.

For the result system to be effective it also means it needs to be automated. For example, I was marvelled to find out that a particular school had to manually upload students’ carryovers on the registration portal in order to force them to register the carryovers. Certainly, this is not scalable and sustainable for any reasonably-sized school.



It is also amazing to see a number of solutions where the examiners are required to provide the final students’ results in a spreadsheet to be uploaded online. Are we really providing solutions or making the work more difficult for the staff and students? I think the essence of computing is greatly undermined here.



From my experience over the years, I believe that “an integrated solution” is the most effective for providing a controlled registration and eventually the most reliable and accurate students’ records management system. (SRMS)
