Strategic Focus/Goal
The main purpose of this role is to support the running of the day to day administration of the
Institute. The successful candidate will act as the point of contact for all employees, providing
administrative support and managing their queries. He/She will act as the ‘face’ of our Institute
and coordinate all front desk activities. Previous experience as an office Administrator or similar
administrative role will be an advantage. Ultimately, he/she should be multi-tasking, energetic and
be able to ensure our administrative activities run smoothly on a daily and long-term basis.

Job Summary
 Prepare regular reports on expenses and office budgets
 Maintain and update company databases
 Organize a filing system for important and confidential company documents
 Answer questions and provide information to employees and clients
 Maintain a company calendar and schedule appointments
 Distribute and store correspondence (e.g. letters, emails and packages)
 Prepare reports and presentations with statistical data, as assigned
 Manage office supplies stock and place orders
 Ensure company’s policies and security requirements are met

Qualifications and Experience
 Evidence of strong organizational and networking skills
 Proven work experience as an Administrative Officer, Administrator or similar role
 Solid knowledge of office procedures
 Experience with office management software like MS Office (MS Excel and MS Word,
specifically)
 Strong organization skills with a problem-solving attitude
 Excellent written and verbal communication skilll
 Thorough knowledge of customer service, office management and basic bookkeeping
procedures
