Job Title: Account Officer Summary of Job Function Responsible for keeping proper financial record of the company and ensure maintenance and adherence of the Recommended Accounting procedures and processes Primary Responsibilities • Initiate an effective control system within the firm ensuring adherence to internal control policies within the various units. • Be responsible for conducting Asset inventory: for fixed assets, stationery items, library, advice Management on status and initiate action on disposal where there is a need. • Preparation of all financial reports for the various units of the firm on a weekly, monthly, quarterly & annual basis this is to be done jointly and severally. • Raise requisitions and vouchers on all requests for payments and disbursements and post same into the various books of accounts of the different units within the firm. • Extract a monthly bank reconciliation statement on all accounts maintained by the firm and extract a trial balance. • Manage the office petty cash and disburse funds for the effective operational needs of the different units of the firm. • Be responsible for invoicing/billings and follow up on bills collection for all jobs/briefs executed by the various units within the firm. • Be responsible for liaising with all statutory Agencies for the purpose of returns (VAT, PAYE, etc.) • Prepare the staff payroll for the various units within the firm. • Prepare and update on a weekly basis the Law office brief schedule incorporating all details necessary. • Prepare and update on a weekly basis the Account Receivables position of the various units of the firm. • Prepare and update on a weekly basis the Accounts Payable position of the various units of the firm. • Liaise with the external auditor for the preparation of statutory and Mgt. audits within the firm. • Substantiates financial transactions by auditing documents. • Maintains accounting controls by preparing and recommending policies and procedures. • Secures financial information by completing data base backups of operations. • Ensure compliance with federal, state, and local financial legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions. • Prepares payments by verifying documentation, and requesting disbursements. • Answers all correspondences arising from within the firm and without in the ordinary course of his duties. • Maintains and protects operations by keeping financial information confidential.
