Job Title: Executive Assistant to CEO


• Answer phone calls, taking messages and handling correspondence for the CEO
• Daily check of all CEO’s facilities in CEO’s office, to ensure they are in proper working condition and office kept tidy
• Scheduling appointments and reminding the CEO of important tasks, deadlines and meetings
• Manage the CEO’s diary, ensure that meetings and appointments are timely, well organized and hitch-free
• Taking dictation and typing documents for CEO
• Receive CEO’s visitors and keep them comfortable throughout their stay
• Filing of documents
• Follow-up on all CEO related issues
• Ensure that refreshments, stationeries, office consumables and supplies are available for CEO’s use at all time
• Assist with other duties if required
• Booking and arranging travel, transport and accommodation
• Miscellaneous tasks as directed by the CEO. (e.g. Assist in conducting research, speech writing and collating documents)
• Transcribes, proofreads and edits correspondence composed by CEO
• Employs the use of logic to identify key facts, explore alternatives, and propose quality solutions to resolve issues encountered
• Ensure adequate management of all official records, appointments and schedules for the CEO
• Organizing and attending meetings and ensuring the CEO is well prepared for meetings
• Responsible for coordinating CEO’s engagement for board meetings of several companies
• Oversee sales and production of God’s Waiting Room
• Required to work with CEO at her private residence when necessary


REQUIREMENTS
• A first degree or its equivalent in any discipline from a reputable institution with 4-7 years post NYSC experience, preferably working as an executive assistant
• Willingness to work long hours, high ethical standards and proven integrity
• Strong analytical and problem-solving skills and articulate, with excellent written and verbal communication skills
• Ability to work independently (without supervision). Well-dressed, presentable and professional outlook
• Working knowledge of the Microsoft Office suite, including but not limited to Word, Excel, PowerPoint, Outlook etc.
• Excellent analytical and organizational skills
• Ability to deal with sensitive information with discretion and to maintain confidentiality.
