Day 12 SAP Demo Today consultants demoed the SAP ERP to project team members. We understood the concept of clients, language, master data, documents, business warehouse, organizational unit etc There were demos on -- FICO (Finance and Control) --SD (Sales and Distribution) --PP (Planning and Procurement) --SCM (Supply Chain) Its getting more interesting |
Day 11 We discussed New Processes to be added to the project scope. -- Real time production and product availability update. -- distributors Inventory Management etc We also discussed briefly on change and issue management. |

DAY 10: IPOC ANALYSIS IPOC MEANS (a) INFRASTRUCTURE (b) PROCESS (c) ORGANIZATION (d) CONTENT We analyzed what will change in our infrastructure, processes, organization and content as a result of SAP implementation. INFRASTRUCTURE - Faster servers - Different OS (Unix or Linux) - Database (Oracle 10g) - Third party tools (Radio Frequency Scanners, Barcode Scanner) PROCESS - Process refers to our way of doing things Changes/Enhancements to process include: -Automation of MRP (Material Requirement Planning) -More Accurate FIFO valuation of inventories and realistic setting of standard cost price of items -Workflow of local purchase order will change. -And others too numerous to mention ORGANIZATION - There will be a lot of organizational changes / internal reorganization due to creation of new job roles. There will be an enhancement in staff skill set because most manual processes will now be automated. CONTENT - Content refers to the details They include changes in work-instructions for most tasks/processes. |
Day 9 We analyzed and finalized the level 0 and Level 1 Business Scenarios. |
DAY 8 There was a discussion on Level 1 Business Scenario Modelling Value Chain (Things we do) Business Location Model (Plants etc) Business Entity (Suppliers, Customers) Business Portfolio (Products, Materials) Level 1 is focused on the Goods, Money and Documents. There will be several level 1 models and each model will have a unique title. |
Day 7 Document management --Name Documents properly --Version control (Draft, Complete, Final) --name must be unique Documents that are final and signed off become a blueprint There are two types of documents a). process Documents e.g. minutes of meetings b). Content Documents - They describe something about the business e.g. business models STAKEHOLDER ANALYSIS Stakeholders include those who can positively or negatively affect our project and also those who will be negatively or positively impacted by the project. We have formal and informal influencers. We thoroughly analysed stakeholders into: --Kind of support expected --Communication preferences --Likes and dislikes --Project experience We also broke them down into Process and Content people. Process people are more flexible and likely to negotiate. Content people are organized, follow rules, less flexible, structured and love details. More to come. |
Day 6: Project Risks and Mitigations A risk is a real or perceived threat to the project. There was a team discussion on possible risks to the project and also the mitigation. Risks Include: 1. Lack of Commitment 2. Fatigue 3. Poor requirement elicitation 4. Unavoidable absense of key team member due to illness, resignation etc 5. System Failure 6. Unskilled personnel 7. Political instability 8. User perception of change 9. Lack of team spirit 10. Inadequate communication 11. Poor / Inadequate documentation Mitigation includes: Instilling the spirit of ownership and commitment Provide timeout for vacation, rest, recreation Ensure adequate backup for all components of the information system viz people, hardware, software, network, data ETC, More to come |
Day 5: Project Overview Introduction of each team member with emphasis on a. Name b. Background c. Passion d. Hopes and Expectations There was a team exercise during which we discussed: Good things about current business processes Issues with current business processes There was a discussion on hopes and expectations of the project. An expectation is a must-have. A hope is a good to have. More like a wish. Expectations include: Well defined roles\permissions Well defined work-instructions for each process Adequate reporting Full integration of all processes viz finance,supply chain, production etc Hopes include: Certification |
Day 4: Project Folder Training Project Files are stored in the project folder. The need for proper documentation in a project of this magnitude cannot be gainsaid. Some of the folders inside the project folder include: Project Meta Project Management Change Management Project Execution Reference Inputs Templates Pictures Each team member was given a practical example of using the project folder and the right naming convention. A document can have any of the following status: a. Draft b. Complete c. Final You can have many versions of the draft. The final document is a complete version that has been vetted and signed of. System Landscape strategy: Centralized systems This means that we will have access to offshore servers belonging to our affiliates for development, quality analysis and testing, business warehouse(reporting). Objectives of the project: To replace current legacy systems, spreadsheet applications and other disjointed systems/software being used by various processes viz supply chain, finance, operations, production etc Company's master data will be centralized. Training approach is train the trainer. The system landscape will be centralized. This means that we will have access to various offshore servers belonging to our affiliates such as Development server, QA Server, Business Warehouse(Reporting) etc We will try as possible to avoid much customization. the emphasis is on standardization to best practices. DAY ONE Just started SAP implementation in my company today. Consultants from Malaysia are in charge. Must say I am impressed with the credentials of the project manager. He has implementations in several Asian and European countries under his belt. Today we had a presentation from the manufacturing BPO (Business Process Owner) giving us an overview of current manufacturing processes and his expectations from the project. The consultants were also given a tour of the various factories. Most of the other users already have their roles in the project defined. However mine is not fully defined. In case you are wondering I am an ICT professional. More info tomorrow. |

You should be responsible for requirements elicitation and documentation. e.g. if a new project is proposed, you will be expected to meet with stakeholders to know exactly their expectations and requirements.
