(a) communicate in writing and physically visit or call the person.
(b) give a detailed information on seminar such as:
- date, venue, time allotted to the speaker
- the target audience of the seminar

- is it free or fee paying seminar

you need to explain all this to the facilitator for him/her to be well informed of what to expect...

ok....since you are not getting a website of your own, you are still buying as an end user. Most sites will sell to you ranging from 0.90k to 1.50k........you have to make your research very well. Check their services and how prompt they are.
