I think next time the best way to do it is by writing the names instead of polls.
We can then get dedicated judges to go through the voters page to see whether they were registered before the contest and then count the amounts of votes and we can give the results for when the voting finishes.

We will give a specific time to when it closes. Any votes after won't be counted.
