The importance of properly labeling goods cannot be overemphasized as this gives an insight to how the goods should be handled. In other to properly label your goods, there are a multitude of options available from simple handling instructions, indicators, and hazard warnings to sealed document envelopes. Below, we’ll take you through how to apply labels to your parcels.

Where should labels be placed?
Labels should be placed on the largest surface of the package you are shipping. If it’s a small jiffy bag or envelope, the label should be on the front face of the package. If you’re shipping a box, the label should be on the largest side of the box, which is usually the front face.

Types of Labels

Document enclosed envelopes and labels: This type of label keeps all those important details like the address details and customer’s invoice safe and dry during shipping. These envelope labels feature a full adhesive backing to stick firmly to parcels and are transparent so that the delivery address can clearly be seen on the front. Once the paperwork is folded and tucked in, they seal tight so that everything inside is kept safe. They should be included on every large parcel you ship to your customers, so always ensure you are well stocked with these envelopes.

Handling Instruction Labels: This label includes clear instructions on a parcel. Examples are; ‘Fragile’, ‘This end up’ ,’ Handle with care’, ‘Open with care’, ‘This end up’, ‘This way up’ arrow image, ‘‘Do not crush’, ‘Do not bend’, ‘Documents Enclosed’, ‘Caution Heavy’, among others. If your package needs these special instructions, then adding these labels will ensure everyone who encounters your parcel knows how to handle it correctly. Fragile labels are also available for parcels that are delicate and need to be handled very carefully, such as glass or ceramics.

Hazard Labels: When shipping goods that include anything considered hazardous, like flammable gas, flammable liquid, corrosive or toxic chemicals, then, hazard labels should be also added. This helps couriers to ensure that your package is stored and transported safely, and that no accidents could occur because of mishandling.

Specialist Labels: When shipping goods that are sensitive to static electricity, being dropped or handled roughly or being tilted during shipping from USA to Nigeria, there’s a range of labels that can provide protection for sensitive shipments. There are indicator labels that stick well, resistant to moisture and suitable for shipping from USA to Nigeria. For sensitive electronic equipment such as circuit boards, computer equipment or mobile devices, apply an anti-static packaging label or and combined with anti-static protective bags to your goods to make it clear that it is sensitive to static electricity and must be properly handled.

It is very important to note that the documents needed or required for importation is dependent on the type or nature of goods being imported. Thus, the onus falls on the importers of goods to check which particular importation documents are needed per case. If the item is SON regulated for instance, the importer is to have for every consignment a SON Product Certificate (PC) and a SONCAP Certificate (SC). SON PC and SONCAP are issued by SON approved inspection agency. Approved agencies include SGS, INTERTEK and COTECNA. The PC is used to open Form M while the SC is used to raise the Pre-Arrival Assessment Report (PAAR).

Standards Organization of Nigeria (SON) was established by Act. No.56 of 1971 which vested it with the authority for:
• Standards elaboration
• Determination of Product Specifications
• Quality assurance system of commodities
• Quality assurance for industrial raw materials
• Quality assurance for imported products

Do you know what demurrage and or detention mean?

Are you familiar with the causes of demurrage and detention?

If no, you need to first read Causes of Demurrage and Detention, and if yes, then you need to know how to avoid demurrage and detention.

Demurrage is the fee charged when import containers are still full and under the control of the shipping line. It is incurred when the container has not yet been picked up by the consignee, and the free time for pick up set by the ocean line has expired for the container. It can also be charged after the loaded export container has been returned to the possession of the steamship line but cannot be shipped out due to non-carrier related errors (e.g. failure to provide relevant export documentation) once the allotted free time has expired. So, additional fees for extra storage period would be incurred until container is shipped.

Detention on the other hand, occurs when the consignee holds onto the carrier’s container outside of the port, terminal, or depot beyond the free time that is allotted. In other words, it is charged when import containers have been picked up, but the container (full or empty) is still in the possession of the consignee and has not been returned within the allotted time. For instance, if a period of 5 free days is provided to return an empty import container to the steamship line after pick up, but the consignee takes 7 days to return this container, the steamship will charge for 2 days of Detention. For export, detention is the charged when an empty container has been picked up for loading, and the loaded container is returned to the steamship line after the allotted free time.

Causes Of Demurrage And Detention

There are so many reasons why cargo undergoes unnecessary delay at the port which subsequently attracts excessive port and terminal charges.

Importers and exporters must have the knowledge of what can lead to demurrage and detention before proceeding with shipment.

There is a big comparison and confusion about demurrage and detention. One must understand both clearly. Demurrage relates to container storage at terminal (charged by the port) while Detention relates to container usage (charged by the shipping line). Both terms affect import and export differently.


IMPORT

Demurrage occurs when the import container as loaded from the port of origin is under the control of shipping line and the consignee fails to pick up after the free time has been exceeded.

Meanwhile, the free time commences as at when the container has been discharged from the vessel to the terminal. As a result of this, demurrage fees are charged for storage.

Detention on the other hand, occurs when the container either full or empty is out of the port terminal and has not been returned by the consignee within the allotted time. In this situation detention fee would be charged based on number of days spent.


EXPORT

Demurrage occurs when the loaded export container arrive the shipping line terminal to proceed with export and the exporter fails to provide necessary documents in due time.

This will not allow the shipping line to load the container to the originally scheduled vessel and book the container for a new vessel. Demurrage charges would set in for additional storage.

Detention occurs when the exporter picks the empty container at the shipping line terminal and fails to return the loaded container after the allotted free time. Detention fees would be charged for additional days outside the terminal.

PAAR is an acronym for Pre- Arrival Assessment Report.

Groupage refers to the combination of cargo from more than one shipper and or to more than one consignee for shipment together. It is usually in a single shipping container. One arrival, the container is unloaded and each individual shipment may be claimed by its appropriate consignee. It is also called consolidation.

Groupage is the same as LCL (Less than Container Load). Transporting a shipment with other goods in the container is referred to as LCL. That means that multiple LCL shipments with different Bills of Lading and different owners can be loaded in a single container. Any space used in the container is subject to a charge.

What is a Bill of Lading?

A Bill of Lading is one of the most important documents in the shipping industry. It is the receipt for the goods carried on ship. It is an evidence of contract between the shipper and the carrier. In other words, it is a legally binding document providing the driver and the carrier all the details needed to process the freight shipment and invoice it correctly. It is a documented title for the goods, signifying that the holder of the Bill of Lading is the legal owner of the goods it states.

Why is it important?

The bill of lading is important because it serves as a receipt the goods describing their apparent condition, quantity and any other distinctive numbers or marks, it is also a document of title to the goods and is generally transferable by endorsement, and it contains some of the terms and conditions of carriage and hence in most of the cases it is the only evidence of a contract of carriage.

Who signs it?

It should be noted that the bill of lading is always issued by the carrier (who is the person or company that undertakes the professional conveyance of goods or people. That is the ship or the owner of the ship) based on the goods that are received from the shipper (who is the owner of the cargo being transported from one place to another through a carrier). The Master of the ship or the carrier company’s agent signs the B/L on behalf of the carrier.

1. Insuring your cargo reduces exposure to financial loss: An exporter who has not been paid for the goods at the time of shipment, or an importer who has paid for all or part of the goods prior to receiving them, runs the risk of suffering a financial loss if the goods are lost or damaged during transit.

2. In terms of general average, getting cargo insurance for your cargo expedites the release of your cargo: You may be required to post a bond and/or cash deposit in order to obtain release of your cargo following a general average – even though there was no loss or damage to your goods. By purchasing insurance, your insurance company assumes the responsibility and expedites the release of your cargo. General Average is an internationally accepted principle where if certain types of accidents occur to the vessel, all parties share in the loss equally.

3. Cargo insurance is important because it could be a contractual requirement: Your sales contract may request that you to provide ocean cargo insurance to protect the buyer’s or banks’ interest. This is especially true when selling goods CIP or CIF. Failure to do so cannot only subject you to financial loss if there is loss or damage to the goods, but non-compliance with the terms of your contract with the buyer can lead to loss of sales and legal problems.

4. Insuring your cargo covers limited carrier liability: By law, carriers are not responsible for many common causes of loss that occur in transit (for example, acts of God, general average, etc.). And, even if they are liable, carriers’ liability in the event of a loss is limited – either by contract in the bill of lading or by law. In most cases, you will only recover cents on the dollar from the carrier. This is why it is advisable to insure your cargo.
