JOB RESPONSIBLITY

ADMINISTRATIVELY
1. Maintain all company facilities in a clean and functional state
2. Assist in ensuring that vehicles are in good operating condition through coordination of fleet maintenance through the drivers and mechanics.
3. Assist in ensuring proper documentation and renewal of fleet particulars.
4. Assist in initiating a search in the event of vehicle accident, man lost or other emergency situations.
5. Assist in coordinating vehicle allocation for daily operations/staff
6. Ensuring preparation of drivers’ outstation allowance and vehicle repairs for payment in the regions.
7. Assist in logistics coordination for protocol.
8. To ensure that facility related issues are dealt with promptly and effectively
9. To ensure periodic and preventive maintenance carried out on all facility assets (AC, Generators, and furniture’s e.t.c.)
10. Ensuring jobs done by contractors that they are of good quality – cleaning & fumigation; refuse disposal; electrical works; plumbing work; caring of lawn & flowers;
11. Carry out all activities within the department and runs the office complex, annex and guest houses effectively
12. Raising of payment for contractors for jobs done
13. Ensuring cost efficient utilisation of dieseling of generators in head office and guest houses
14. Ensure all utility bills for head office and the guest houses are paid as at when due
15. Carry out routine inspection of all guest houses and the activities of the staff
16. Ensure all required documents for ISO Audit/Certificate are up to date and are well filed
17. Ensuring detail record keeping of facility activities
18. Any other responsibilities assigned by management

PROCUREMENT
1. Ensures competent quality execution of all regular purchasing duties and administrative works.
2. Raising LPO as required
3. Maintains complete and monthly updated purchasing records/data and pricing in the system
4. Assist when preparing weekly and monthly reports and summarize data
5. Coordinates with user department and suppliers in the purchasing scope of work for project assigned
6. Coordinates and monitors suppliers to ensure on-time delivery to site or store
7. Assist in processing of suppliers’ invoices and documentation in accordance with agreed payment terms and company policies and procedures.
8. Ensures regular suppliers are duly registered
9. Ensures items requested for are duly approved and procured to specification
10. Assist in sourcing for new suppliers when the need arises
11. Assist in collating and forwarding to finance by mail on a weekly basis payment request for due invoices.
12. Ensure updating and maintenance of documents such as request for purchase form, purchase orders, price analysis, copies of waybill, GRN, receipts, etc.
13. Ensure retirement of advances within 2 weeks of all monies collected for direct purchases.
14. Updates and maintains suppliers’ contact database
15. Any other responsibilities assigned by the Management

Minimum Qualification / Experience Required:

OND in any Social Science Course

Age: Not more than 25 - 30 years

Sex: Male
