Principal Accountabilities:
The incumbent is responsible for managing the Director/s work, meeting and appointment schedule to ensure smooth running of daily activities, including:
Management of deadlines for the functional head.
Organization of reporting cycles for the functional head
Escalation of matters on behalf of the functional head
Full control over diary and schedule of the functional head.
Compilation of monthly reports for the functional head.
Within reasonableness, assist the functional head, with personal requests to ensure optimum use of his/her time on key business issues.
Efficient and effective filing of documentation and electronic data/ information according to Record management policies and procedures.
Preparations of presentations
Drafting of memos, letters and reports as appropriate.
Answering and screening of telephone calls.
Opening of incoming mails, clearing and distributing of mail, messages, photocopying, ordering and control of stationary.
Must be proactive in scanning minutes of meetings attended by the Director to follow-up any action points allocated to him/her and ensuring that these are compiled on time.
Any other duties as assigned by Functional Head


Knowledge, Skills and Experience:
First degree or equivalent in a relevant tertiary qualification.
Excellent English written and verbal communication
High degree of PC literacy in personal productivity tools (MS Office & lotus notes).
Outstanding interpersonal skills with the ability to liaise effectively at all levels.
Methodical attention to details with efficient organizational skills.
Minimum 5 years secretarial/personal assistant work experience in a medium to large company.
Experience of reporting to a Director and working with senior management teams would be an added advantage.
