Maintain accurate physical and digital records, ensuring confidentiality and easy retrieval. Ensure all documents are systematically filed both in hard copy and soft copy formats for easy access and organization. Prepare reports, presentations, and data analysis to support decision-making. Handle day-to-day office management tasks, including expense reports and procurement. Communication and Correspondence Act as a liaison between the Director and other teams to ensure smooth communication. Handle and prioritize correspondence, including emails, phone calls, and inquiries. Draft, edit, and proofread emails, letters, reports, and presentations on behalf of the Director. Serve as the primary point of contact for internal and external stakeholders. Assist in drafting and editing various forms of written communication, such as memos, reports, and presentations. Travel and Logistics Coordination Plan and manage domestic and international travel, including visa applications, flights, accommodation, and itineraries. Ensure travel plans align with the Director’s schedule and preferences. Oversee logistics for meetings, events, and office operations, including supplies and equipment. Project Management and Research Support the Director in planning and executing projects or events. Research assigned topics and compile findings into actionable reports. Track project progress and provide updates to ensure deadlines are met. Assist in the planning, coordination, and execution of various projects. Monitor project timelines, track progress, and provide regular updates. Manage the implementation of events and coordinate events hosted by the Director which may involve managing guest lists, coordinating logistics, and procurement and ensuring that all event-related materials are prepared and organized. Stakeholder and Relationship Management Build and maintain relationships with key internal and external stakeholders, including high-level contacts. Develop and manage a comprehensive contact database to foster and maintain professional relationships. Manage communication with board members, trustees, and other professionals on behalf of the Director. Ensure guests and visitors are welcomed, and attended to, and their needs are met professionally. Expense and Household Management Document and manage daily expenses efficiently for professional and household-related activities. Oversee the organization of household operations, ensuring smooth running. Oversee household projects and ensure management of domestic staff. Support with family-related responsibilities, including childcare arrangements and other personal tasks. Any other duties relevant to the needs of the Director and as directed. Data Protection and Confidentiality: Uphold strict confidentiality standards when handling all executive and personal information. Ensure compliance with data protection regulations and internal policies. Required Skills and Qualifications Must have at least 5 years proven experience in a similar role supporting Senior Executives or Directors. The ideal candidate should have a background in both Finance and IT. Strong organizational and time-management skills, with excellent attention to detail. Excellent written and verbal communication abilities. Proficiency in MS Office, Google Suite, and other scheduling and office tools. Ability to take initiative and work in a fast-paced environment. High level of discretion and professionalism when handling sensitive information. Must be able to drive and possess a valid driver’s license. The Radiant Necklaces: Lessons of the Blessed Month of Ramadān Followed by Insights from the Sacred Ten Days of Dhul-Hijjah | Shaykh Sa‘ad al-Khathlān, [may Allāh preserve him]. Lesson One: Welcoming the [Blessed] Month of Ramaḍān Shaykh Sa‘ad al-Khathlān, [may Allāh preserve him], said: All praise and thanks is due to Allāh, who has blessed us with the arrival of the sacred month of fasting. May peace and blessings be upon the best of creation, our Prophet Muhammad (peace and blessings be upon him), the finest of those who fasted and prayed, and upon his noble family and righteous companions. A noble guest has arrived - the month of Ramaḍān, a season of immense spiritual opportunity and a time for trade with Allāh, the Almighty the Majestic through righteous deeds. “The month of Ramaḍān in which the Qur’ān was revealed - a guidance for mankind, and clear proofs of guidance and criterion.“¹ In this blessed month, good deeds are multiplied, ranks are elevated, sins are forgiven, and souls are liberated from the fire of Hell. Among the greatest blessings Allāh, the Almighty the Majestic bestows upon a servant is allowing them to witness this sacred time. Many have been deprived of this gift, their appointed time having ended, transitioning from the realm of action to the realm of recompense. How many, who fasted with us last year, are now laid to rest in their graves, bound by their deeds? The Swift Passage of Time O’ my beloved brothers, it was but yesterday that we welcomed Ramaḍān of the previous year. It came and swiftly departed, as do all our days and nights. Now, once again, we stand at the threshold of this sacred month. How swiftly time slips away! Life itself is fleeting; its moments pass like the wind, and soon, we will all pause to meet our Creator: “O’ mankind! Indeed, you are laboring toward your Lord, laboring ever strenuously, until you meet Him.”² Ramadān is a priceless opportunity for repentance, self-reflection, and preparation for the hereafter. It is a moment to amass the provisions of taqwā (God-consciousness), fortifying the soul with piety and reverence. A wise believer will organise their time in this month, ensuring that not a single day or night passes without accumulating deeds that will bring them joy when they stand before their Lord. Let one reflect: this may be the last Ramaḍān they ever witness. A believer should also strive to lighten the burdens of worldly affairs, for the pursuits of this world are endless. Dedicate more time to worship, just as the Prophet (peace and blessings be upon him) did. He was the most generous of people, and in Ramaḍān, his generosity knew no bounds. “The Messenger of Allāh (peace and blessings be upon him) was the most generous of people, and he was even more generous in Ramaḍān.”³ A School of Spiritual Refinement As this blessed month dawns upon us, my dear brother in faith, increase your devotion in worship, obedience, and righteous deeds, striving to emerge from Ramaḍān better than you entered it. Ramaḍān is a training ground for the soul, a time for nurturing noble character, distancing oneself from sin, and purifying one’s heart. The Prophet (peace and blessings be upon him) said: “Whoever does not abandon false speech and acting upon it, Allāh has no need for him to abandon his food and drink.“⁴ Falsehood encompasses sinful words, and acting upon it includes all manner of transgression. The essence of this hadith is that one who fails to uphold the etiquettes of fasting, engaging in sinful speech or actions, risks losing the spiritual reward of their fast. Though their obligation may be fulfilled, the essence of fasting is lost when one disrespects its sanctity. A believer must observe the etiquettes of fasting, refraining from all acts of disobedience at all times, but especially while fasting. Ramaḍān is a time to discipline the soul, to cultivate righteousness and strengthen one's connection with Allāh. It is also a month for self-reckoning, a time to reflect on one’s past, seek forgiveness, and strive for renewal. As Allāh, the Most High commands: “O’ you who believe! Fear Allāh, and let every soul reflect upon what it has sent forth for tomorrow.”⁵ A Commitment to Excellence in Ramaḍān Dear Muslim, as this sacred month begins, resolve firmly within yourself to increase in devotion. A decisive commitment aids in steadfastness upon righteousness, as the Prophet (peace and blessings be upon him) would supplicate for “the resolve to remain upright.” For example, make a firm intention: To perform every Taraweeh prayer with the Imām throughout the month. To complete the recitation of the Qur’ān once or multiple times. With such planning and determination, as Ramaḍān departs, you will find yourself enriched with righteous deeds that will bring you joy when you stand before Allāh, the Almighty the Majestic. It is also permissible and commendable to congratulate one another upon the arrival of Ramaḍān, for such greetings bring joy to the hearts of believers. Reaching this month is a a source of great joy, one that should be cherished and welcomed with gratitude. Closing Supplication O’ Allāh, grant us the ability to fast and stand in prayer in Ramaḍān in a manner that pleases You. Guide us to what You love and accept our deeds. May Your peace and blessings be upon our beloved Prophet Muhammad, his family, and his companions.
