Jobs/Vacancies4 Things That Scream "I'm Unprofessional" (continued) by TRWConsult(op): 5:48pm On Aug 09, 2013
- Peter Vogt

3. Winging Your Interviews Instead of Preparing Thoroughly

You Might Think: I’m good at thinking on my feet, and if I get stuck, I’ll just wiggle my way through. Besides, they can’t expect me to know everything about the company.

The Employer Will Probably Think: This person clearly knows nothing about the company, nor has she made any effort to learn more about us and what we do. She must not really care whether or not she gets the job. I want someone who cares. Oh well, maybe the next person will be better.

4. Failing to Send Thank-You Notes After Interviews

You Might Think: A thank-you note? You’re kidding, right? Do people even do that sort of thing anymore?

The Employer Will Probably Think: This person has no follow-up skills, not to mention common courtesy. He could have at least dropped me a quick email note, like this other person did. I think I’ll invite this candidate for the second round of interviews instead. The other guy must not really want the position.
Jobs/Vacancies7 Tips For Writing An Email Message by TRWConsult(op): 2:00pm On Aug 08, 2013
What’s so difficult about writing an email? Nothing. That’s the problem: It’s too easy, and you should take care that a professional message is just that — especially if you use email primarily for social interaction and are unaccustomed to sending business emails. Here are some guidelines for business-like electronic communication.

1. If you write professional emails from a personal address rather than a company account, use a professional-looking address. Don’t ditch your quirky or ribald account name, but acquire a more sedate one, consisting simply of your name and/or a description of your professional services, for business communications. Also, avoid using animations, complicated fonts, and busy backgrounds in your messages.

2. Use the message header to encourage recipients to read your message, stating the purpose of the message distinctly and concisely.

3. Use a formal salutation unless you’re on a first-name basis with the recipient — for example, “Mr. Smith” or “Dear Ms. Jones,” followed by a colon. If you don’t know the recipient’s name and can’t obtain it by contacting the recipient’s company, write “Dear Sir or Madam.” (Double-check now that you’ve entered the recipient’s correct email address and have not inadvertently included any other addresses.)

4. Introduce yourself and the purpose of your message in the first paragraph. Use short paragraphs separated by line spaces to clearly and concisely communicate well-organized information. Don’t clutter your message with detailed apologies (though you should certainly begin with a brief apology if your message is overdue, and then get to the point) or with digressions.

5. Conclude with a summary and, if you have any requests, a courteous and concise explanation of actions you would like the recipient to perform. If you are not requesting a response, simply inform or remind the recipient that your services are available, or mention something similar that is appropriate to the context.

6. Sign off with “Sincerely,” “Respectfully,” or the like and your full name, followed by your job title and company name, as well as your company’s website and other social-media contact information, or your own if you are self-employed or are contacting the recipient as an individual, not as a representative of a company.

7. Use your email program’s spell-checking tool, proofread your message, and read it aloud in a separate pass. If you used any language that might not be perceived as professional, save the message without sending it and review it later, when you can be more objective about whether it is appropriate.

BusinessTechnical Writing (cont'd) by TRWConsult(op): 11:06am On Aug 02, 2013
STILL ON TECHNICAL WRITING

Technical Writing is different from other forms of writing in many ways. In Technical Writing:

- The information is organised, presented and communicated in a particular prescribed format.

- The writing is clear, concise, accurate and usually action-oriented.

- The writing reflects the audience’s needs, biases/preconceptions and prior understanding.

- The writing presents information to help readers solve a problem or gain a better understanding of a situation.

- The writing conveys technical, complex, or specialised information in a way that is easy for a layman to understand.

Technical Writing could be descriptive, creative, and expository. However, the standards are higher than those of other writing forms. Technical Writing has no allowance for errors – it requires 100% accuracy.

In our day-to-day lives, we always have to make demands on good writing skills, either for academic or professional purposes.

We have all turned in a report at one time or another that wasn’t written as well as it could have been. This, unfortunately, has a negative effect on our public perception and self image. The good news, however, is that we can do something about it!

Do you know that, depending on the context, Technical writing is also called Business Writing, Workplace Writing, Professional Writing and Informational Writing?

Writing is a learned skill that we can all improve on through conscious and consistent effort.

One of the best action steps you can take in your business is to create a short biography (otherwise called bio-data or executive profile) that showcases your expertise and gives you the credibility you need to stand out from the crowd. It will boost your business in so many ways.

You want to have your biography on your website and all of your marketing materials. If you desire to do more speaking to grow your business, you'll want a killer biography for the event host to read before you step onto the stage.

If you're writing articles or a book for publication, a biography is a must to give the reader a birds-eye view into who you are and why they should read your material. Make sure to include special credentials you've earned in your industry, awards you've won, some personal information, and a photo of yourself.

And here is the catch, not everyone can write in a professional manner that will appeal to readership. And that's where we come in. TRW CONSULT can help you to develop your executive profile, as part of our PERSONAL BRANDING PACKAGE, at a ridiculous fee.

BusinessAdjectives That Look Like Adverbs by TRWConsult(op): 4:26pm On Jun 10, 2013
What’s the visual difference between an adjective and an adverb? Well, all adverbs end in -ly, and no adjectives do, right? Wrong on both counts.

Some adverbs, called flat adverbs, lack the -ly suffix. The words in this category, like straight, can be used both as adverbs (“Drive straight through the intersection”) and adjectives (“He drew a straight line”).

Some adverbs, like slow, are interchangeable with their -ly forms (see this post). Others, like hard, are distinct in usage from the adverbial -ly form (“I worked hard” is opposite in meaning from “I hardly worked”) and have no adjectival -ly form.

At the same time, dozens of adjectives end in -ly, and many have no adverbial equivalent. (Some adjectives that pertain to periods of time, such as daily, weekly, and monthly, can be both adjectives and adverbs: “They followed a daily regimen”; “They followed the regimen daily.”) For example, friendly can modify a noun (“She wore a friendly smile”), but although one can write, “She looked friendly,” it means she had a friendly look, not that she looked at someone in a friendly manner. (Friendly is not an adverb; friendlily is, though I’ve never seen it used, and one must otherwise use the adverbial phrase in the previous sentence, or a similar one, in place of friendly.)

Other adjectives ending in -ly that are not also adverbs include costly (“It was a costly event”), miserly (“That’s a miserly attitude”), and unruly (“He’s an unruly boy”). One cannot, for example, act costly, miserly, or unruly; one is said, for example, to spend in a costly manner, to behave in a miserly fashion, or to engage in unruly behavior.

Adjectives ending in -y can be converted to adverbs with the insertion of -il- before the final letter, as in frosty (“She gave him a frosty look”) becoming frostily (“She looked at him frostily”), but, friendlily notwithstanding, few adjectives can be converted to adverbs in this manner. For example, “She gave him a deadly look” is correct, but “She looked at him deadlily is not.”

BusinessA Lesson From Google by TRWConsult(op): 12:59pm On Jun 04, 2013
HOW TO BECOME SUCCESSFUL AND DOMINATE YOUR COMPETITION: A LESSON FROM GOOGLE

It's very rare for a new business to be introduced and immediately dominate its competitors. It usually that takes years, sometimes even decades to achieve; but it not unheard of.

Take Google for example. When it came online in 1998 it shot to the top as the world's most popular search engine. Within months of becoming a company PC Magazine reported that Google "has an uncanny knack for returning extremely relevant results” and recognized them as the search engine of choice in the Top 100 Web Sites for 1998.

At the time all the other search engines like Excite and Alta Vista were focused on "stickiness” or getting users to stay on their site for long periods of time. They reasoned that this was the way to get more people to view the ad's they served up and click on them, thus increasing their revenue. This made them focus on growing ad revenue instead of improving search.

What Google did was quite contrary to that philosophy. Their goal was to return extremely relevant search results as fast as possible, getting users to click away from their site fairly quickly. The founders behind Google thought if they could do their job well, then users would be more likely to return to their site and use it over and over. And they were right. Almost overnight millions of web users abandoned their favorite search engines in favor of using Google exclusively in the late 90's.

In retrospect it's not surprising that Google found success not long after launching. They simply used a powerful business technique to dominate their competitors. They did one thing and they did it better than everyone else. By returning results that were more relevant to what the user was searching for. Google essentially blew everyone else out of the water.

Google made their display page simple, a white background with black text. It put the most relevant results at the top and centered them while moving everything else to the sides. By doing it this way they made their business better than all of their competitors. Very quickly users saw them as not just a search engine, but a reliable source for information.

Any business launching today should adopt the same business strategy google used--do one thing and do it better than everyone else. Figure out what your business can do for people and then work hard to do it better than all of your competitors.

BusinessWriting: Where And How To Start by TRWConsult(op): 11:58am On Jun 03, 2013
Finding a good topic is one of the hardest parts of learning to write. And, unfortunately, every writer runs into it right at the beginning.

No matter how many times you’ve come up with good topics before, you end up with the very same problem the next time you start a piece. And that’s why you need strategies that will always give you many good topics to choose from.

One approach that seems to work well for many writers is the Topic T-Chart strategy. The idea is to make two lists at the same time based on opposites. Here are some examples that will help you find something good to write about:

• Like-Hate: Things you like and things you hate.

• Typical-Unusual: Typical experiences that happen almost every day and unusual experiences that have happened only once or twice in your entire life.

• Fun-Have To: Things you do for fun and things you do because you have to.

• Regret-Proud Of: Things you regret and things you are proud of.

You can use these lists over and over. Try a couple of the ones suggested here or make up your own. In just a few minutes, you’ll have enough topics to last a whole year!

BusinessBenefits Of Online Advertisement by TRWConsult(op): 12:27pm On May 21, 2013
Online advertisement has several advantages over advertising on traditional media. Some of these leverages are highlighted below:

Scalable: The scale and scope can be tailored to your budget.

Measurable: Everything is measurable. When you place an ad in the newspaper, it can be difficult to assess the direct sales impact on your business. With online marketing, everything can be illustrated in detailed graphs that illustrate traffic growth, leads and sales conversions.

Demographic targeting: It can be targeted at particular demographics that are most likely to require the advertised products and services.

Segmentation: Your online adverts can also be segmented to beam to people in particular geographical locations where you wish to market your products anywhere in the world.

Wider reach: It has the potential of reaching a larger number of people, since most people are online and the targets need not incur at extra costs (such as having to purchase a magazine or newspaper) to view the adverts.

Portable: apart from desktop and laptop computers, online adverts are also accessible on mobile devices and tablets such as Android and Apple products.

Timeliness: there is no restriction to the time your adverts can be seen, as people can see the adverts morning, afternoon and night.

Universality: the adverts can be seen all over the world. So there’s no restriction to the number of people who can see them and the locality.

Reduced Costs: The costs of online marketing are negligible compared to the thousands you would spend on newspaper, television and radio ads.

Brand affinity: there is no better way to maintain brand visibility and create brand affinity than online advertising. This is because your adverts keep popping up on the screen of internet users, such that it results in 'stickiness' of your marketing message.

Our team can help to drive massive traffic to your website as well as boost your sales and patronage through an integrated marketing mix and strategic deployment of internet resources.

7. THE PSYCHOLOGICAL RULE OF 7±2 (seven plus or minus two)
The human brain 'chunks' information together, so if you have a long document or communication that you want to deliver, especially on paper, then structure your document so that you have:

• 7±2 'chapters' or sections
• 7±2 sub-sections in each section

If you find that you end up with 10 or 11 sub-headings in a chapter, or sub-sections in a section, see if you are able to either consolidate two or three sub-sections in to, or create a new main section out of them.

6. PRIMACY/RECENCY
It is essential to know that, one week later, a business communication is remembered by one or both of two things:

• the power and memorability of its opening
• the power and memorability of its close

Psychologists call the effect of remembering the first few items presented as a 'Primacy Effect'. Similarly, they call the effect of remembering the last few items presented to you as a 'Recency Effect'.

Since individuals differ per which Effect is the most dominant for them, it is best to make an effort to have a powerful and memorable opening as well as a powerful close.

A powerful opening can be anything that captures the audience's attention:

• a quote,
• a joke,
• a loud noise,
• a preposterous statement.

Ensure that your opening remains consistent with and relates to the subject of the communication. Equally, a powerful close that bears no resemblance to the main body of the communication would just confuse and disappoint an audience brought up to expect something more.

The opening and closing of your business communication are the two most easily remembered and therefore essential elements. Make sure you give your audience something to remember.

5. RELEVANCE
The psychological reality is that unless a person is interested in the subject of the message they are highly unlikely to pay any attention. Which means that if you force them to attend to your message you will actually turn them against you and be even less likely to receive their attention in the future.

If your business communication needs to touch on several areas that might not be of interest to your entire audience, let them know of alternative resources that more fully address each of these additional areas.

You can do this by, for example, providing them with an easily-remembered and written link to a webpage where a greater depth of information can be stored.

4. MEDIUM
There are myriads of ways you can deliver your message. The trick is to use the right one.

How do you know the right one? The one that communicates your message:

• with the greatest accuracy
• with the largest likelihood of audience comprehension
• at the lowest fiscal cost
• at the lowest time cost

Note: it must meet all of these criteria. There's absolutely no value in spending the least amount of money if the medium you choose doesn't deliver on any of the other criteria.

So what media are available? You have a choice from any one or combination of the following:

- Paper-Based Memo
- Letter
- One-To-One Face-To-Face Presentation
- Seminar
- One-To-One Phone Presentation
- Meeting
- One-To-Many Personal Presentation
- Plain Text Email
- One-To-Many Phone Presentation

Be clear about the message you want to deliver, as giving a confused message to your audience only ends up with them being confused and your message being ignored.

3. CONSISTENCY
Nothing more upsets a regular reader of, say, your newsletter than inconsistency of your message. Taking a position on an issue one week, only to overturn it the next, then overturn THAT position the following week, only breeds distrust in your message.

And distrust in you!

People who distrust you are exceedingly unlikely to take the action you wish them to take. They are also highly unlikely to pay any attention to your future messages.

THE READY WRITERS CONSULT can help you/your company develop a winning business document for your official needs. We can also train your staff on the nuances of effective business writing.

BusinessStill On Structure As An Essential Of Business Communication by TRWConsult(op): 1:03pm On Sep 12, 2012
The Opening
An opening allows your communication's audience to quickly understand what the communication is about.

Short, sharp and to the point, a good opening lets your audience quickly reach a decision of whether or not to pay attention to your message.

The Body
It is in the body of the message that you communicate all of your facts and figures relative to the action you want your communication's audience to take after attending to your message.

The Close
The Close is where you sum up your communication, remind your audience about your key points, and leave them with a clear understanding of what you want them to do next.

The more powerfully you can end your communication, the more easily remembered it will be by your audience.

THE READY WRITERS CONSULT can help you/your company develop a winning business document for your official needs. We can also train your staff on the nuances of effective business writing.

BusinessThe 7 Essentials Of Business Communication by TRWConsult(op): 12:15pm On Sep 10, 2012
There are seven essential elements to successful business communication:

• Structure
• Clarity
• Consistency
• Medium
• Relevancy
• Primacy/Recency
• Psychological Rule of 7±2

If you are going to communicate effectively in business it is essential that you have a solid grasp of these seven elements. So let's look at each in turn...

1. STRUCTURE
How you structure your communication is fundamental to how easily it is absorbed and understood by your audience. Every good communication should have these three structural elements:

- an opening,
- a body,
- a close.

This structural rule holds true no matter what your communication is - a memo, a phone call, a voice mail message, a personal presentation, a speech, an email, a webpage, or a multi-media presentation.

Remember, the audience of your communication can be just one person, a small team, an auditorium full of people or a national, even global, group of millions.

In this instance size doesn't matter - the rules remain the same.

AdvertsWriting To Be Read (part 2) by TRWConsult(op): 11:04am On Aug 31, 2012
- Middle:
Once you get the attention of the reader, it is important to keep it. A very good way is to have an argument. This is not a quarrel, but a set of statements that link to each other and that lead the reader from one point to another.

- The End of the Document:
All the topics you include should lead to a conclusion. The conclusion should conclude.

- Make the reader happy that s/he has read the document; and feels completed, satisfied, sure.

BusinessWriting To Be Read (part 1) by TRWConsult(op): 2:08pm On Aug 28, 2012
- An unread document is a useless document.

- Write in a manner that will make it easy and interesting for people to read it.

- Length: People are more likely to read them when they are short than when they are long.

- Beginning Your Document: A document that is going to be read, must start with a "grabber." A boring beginning is guaranteed to ensure the reader will not continue reading.
