Functional Responsibilities.

Accounting

• Record all transactions - payments, all expenses, sales and non sales inflow promptly and accurately on the company's accounting software
• Review invoices daily / weekly to ensure accuracy
• Review delivery fees sheet to invoices to ensure accuracy
• Review weekly conversion tracker to ensure accuracy
• Manage the company's fixed assets schedule
• Ensure follow up with debtors for prompt recovery of outstanding balances.
• Prepare weekly sales, finance & admin reports
• Reconcile delivery fees sheet on a weekly and monthly basis
• Reconcile transactions on the software to bank on a weekly and monthly basis
• Reconcile Jumia / other online marketplace invoices on a weekly and monthly basis
• Work with production team to support inventory reconciliation
• Manage cash requisition process and ensure prompt recording of petty cash expenses
• Supervise daily reconciliation of petty cash and ensure reports are up to date
• Ensure all reconciliations are completed on time and tax filing deadlines are met
• Update monthly analytics sheet after completion of all reconciliations
• Manage monthly budget & ensure adequate management of office expenses
Admin
• Supervise and manage the office admin activities
• Manage website email communications and escalate important matters as necessary
• Oversee new staff recruitment and induction process
• Ensure staff compliance with SOPs and staff handbook
• Ensure staff compliance with the tasks and timelines in the company's annual strategic plan
• Ensure implementation of disciplinary measures as documented
• Manage/resolve staff issues and escalate to CEO as appropriate
• Organise weekly staff meetings
• Manage office training calendar
• Track staff special dates, manage staff record sheet and leave calendar
• Manage and contribute to bi-annual performance reviews of all staff
• Research on topics assigned to educate staff and ensure standard best practices
• Supervise and ensure prompt replenishment of office supplies
• Review and ensure completeness of all admin checklists
• Manage and ensure prompt maintenance of all office equipment
• Manage office vendors and artisans
• Inform H/Q or line manager of possible product/process improvement and changes to ensure that company products meet current market needs.
• Give prompt reports on crucial issues to direct line manager and suggest answers where obtainable

Experience
